Laila's Way Behavioral Services provides innovative, high-quality behavioral health and ABA services to children and families across Philadelphia. We are seeking a highly organized and motivated Group Services Coordinator to support the administration, coordination, and daily operations of our group-based behavioral health programs.
Position Overview
The Group Services Coordinator is responsible for the day-to-day administrative coordination and management of all group behavioral health services. This role ensures smooth program operations by supporting clinicians, managing schedules, maintaining client files, overseeing family communication, and ensuring compliance with documentation and billing requirements. The Coordinator serves as a key liaison between families, staff, and Laila's Way Behavioral Services leadership.
Key Responsibilities
Program Administration & Operations
- Manage and maintain client files within the electronic medical records (EMR) system.
- Oversee call-outs and coordinate appropriate staff placement to ensure uninterrupted service delivery.
- Manage group session schedules, staff schedules, and therapy room assignments.
- Ensure all therapy materials, supplies, and equipment are stocked and available.
- Support clinic operations and maintain an organized, child-friendly environment.
- Assist with nutrition services, including the distribution of meals and snacks.
- Support client toileting procedures and diaper changes, as needed.
- Assist with client art activities and management of supplies.
Clinical Program Assistance
- Facilitate PLS (Preschool Life Skills) orientation for newly enrolled families and new staff.
- Collaborate with clincial staff during weekly PLS meetings and staff meetings.
- Ensure clinical materials are updated, available, and maintained daily.
- Scan all clinical data and ensure timely upload into designated systems.
- Review all submitted progress notes at the end of each week to ensure billing completeness; provide immediate feedback to staff as needed.
- Assist clinicians with clinical support tasks as requested.
- Schedule interdisciplinary meetings with outside agencies and stakeholders.
Family Support & Communication
- Serve as the primary liaison between families and the group services team.
- Create and distribute monthly parent newsletters and communication forms.
- Coordinate parent outreach and maintain ongoing communication as needed.
Training & Staff Support
- Schedule monthly staff training sessions for group service team members.
- Maintain updated schedules, transportation routes, and staff coverage plans.
Transportation Oversight
- Oversee transportation scheduling and route updates.
- Act as a transportation aide as needed to ensure safe and timely routes.
- Respond to driver call-outs and coordinate backup coverage.
- Ensure all transportation bags have adequate supplies.
Other Duties
- Perform additional responsibilities as assigned to support program success.
Qualifications
- Bachelor's degree required (Behavioral Health, Psychology, Education, Social Work, Human Services, ABA or related field preferred).
- Must have completed the 40-hour RBT coursework and provide certificate of completion as proof.
- Experience working with children, families, or behavioral health services strongly preferred.
- Strong organizational and communication skills.
- Ability to multitask in a fast-paced, center-based environment.
- Familiarity with ABA, IBHS services, or behavioral health settings a plus.
- Must be dependable, flexible, and team-oriented.
Schedule & Work Environment
- Full-time, in-person position at our Philadelphia clinic.
- Fast-paced behavioral health environment with children and families.
- May require occasional early morning or late afternoon hours based on program needs.
