Position Overview
The Accounts Payable Specialist is responsible for managing the full-cycle accounts payable process for a large residential property portfolio. This role ensures timely, accurate processing of invoices, vendor payments, and financial records while supporting daily accounting operations. A minimum of 5 years of single-family or multi-family property management accounting experience is required. AppFolio experience is a plus, but not required.
Key Responsibilities
- Process a high volume of vendor invoices with accurate coding, proper property assignment, and correct approval routing.
- Maintain vendor accounts, ensure timely payments, and respond professionally to vendor inquiries.
- Reconcile vendor statements and research discrepancies related to property-level expenses.
- Prepare weekly and monthly aging reports and assist with cash flow forecasting.
- Support the month-end close process, including AP accruals, reconciliations, and audit requests.
- Process employee reimbursements and corporate credit card transactions.
- Monitor and maintain the AP inbox, routing documents and maintaining organized files.
- Collaborate closely with property managers, maintenance operations, and other cross-functional teams regarding invoice status, missing documentation, or expense questions.
- Assist with AP process improvements, workflow upgrades, and systems enhancements to increase efficiency.
- Provide general accounting support to the Controller and the broader accounting team.
Qualifications
- High school diploma required; associate or bachelor's degree in Accounting, Finance, or related field preferred.
- 5+ years of experience in single-family or multi-family property management accounting required.
- AppFolio experience preferred, but not required.
- Strong understanding of accounts payable workflows and basic accounting principles.
- Proficiency in accounting software and Microsoft Excel (sorting, filtering, formulas; pivot tables a plus).
- Demonstrated ability to manage high-volume workloads with accuracy and attention to detail.
- Strong communication and customer service skills, particularly when interacting with vendors and internal teams.
- Highly organized, dependable, and able to work independently or collaboratively in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information.

Job Type: Full-time
Projected Total Compensation: $60, $65,000.00 per year
