Our financial services client is seeking a
Project Specialist
to join their Enterprise Brand Marketing team in a dynamic, departmental support and "floater" capacity. This role supports the engine for execution, coordination, and organization across multiple concurrent initiatives spanning four core functional stacks: Brand, Division Activation, Conference & Event Planning, and Corporate Communications. The
Project Specialist
will handle tactical delivery, process optimization, and coordination for high-impact projects, often involving senior leader interaction.
Key Responsibilities
I. Multi-Stack Initiative Coordination & Execution
The Project Specialist provides flexible, hands-on support and manages sub-projects across these four strategic areas:
- Brand & Culture Campaign Support:
Assist in coordinating the foundational development of major internal campaigns (e.g., the
2026 Culture Campaign
). Support the partnership with HR and Corporate Communications to define visual identity,
track creative approvals
, and coordinate communications related to the culture framework integration. - Conference & Event Logistics:
Serve as the execution and support lead for critical logistical elements of large-scale, multi-site corporate events (e.g., the
2025 Holiday Gala
across four locations).
Coordinate vendor research
, assist in securing thematic elements (e.g., interactive photo ops), and track deliverables to ensure cohesive execution. - CSR & Corporate Initiative Management:
Manage the execution of strategic, high-visibility projects, such as the
50th Anniversary Upcycling Project
. Handle the end-to-end vendor process (
soliciting quotes, managing mockups, coordinating contract approvals
), and arrange all necessary logistics (e.g., shipping banners) for product delivery to the Community Outreach team.
II. Foundational Process Management and Documentation
- Process Mapping:
Support the process mapping initiative by assisting in the development, implementation, and monitoring of project plans. - Documentation:
Collaborate with leaders and crew to
document key processes
for all programs, ensuring clarity and direction for future organizational structure (TS&D). - Project Organization:
Develop detailed task plans and schedules, organize deliverables, and
support the management of project workloads
to ensure all sub-projects within the four stacks remain on track. - Risk & Best Practices:
Assist in identifying and documenting project risks and provide insights on best practices based on prior experience.
III. Communication, Stakeholder, and Senior Leader Interaction
- Stakeholder Communication:
Provide regular updates on project status, issues, and next steps to stakeholders, leaders, and senior managers, ensuring
high visibility
for all multi-faceted projects. - Relationship Building:
Proactively foster communication and build effective working relationships between diverse internal teams and external vendors.
Required Qualifications
- 3-5 years of experience in project management, event coordination, or corporate communications/brand support.
- Working knowledge of Workfront is a plus.
- Exceptional organizational skills and the ability to manage multiple complex projects concurrently with competing deadlines.
- Strong communication and interpersonal skills, capable of building effective relationships with internal stakeholders (HR, Corporate Comms, Community Outreach) and external vendors.
- Experience with vendor management, contract review, and budget coordination.
