Position Overview

As our Operations Manager (OM), you'll oversee the day-to-day operations of the practice and keep our systems running smoothly. You'll support each department—front office, clinical, new patient, and marketing—ensuring clear communication and consistency in how we care for our patients.

This role is essential to maintaining the efficiency, culture, and patient experience that define Austin Orthodontics.

Key ResponsibilitiesLeadership & Team Support

  • Lead and support administrative, new patient, marketing, and clinical support teams
  • Train and mentor team members on front-office systems and communication standards
  • Promote a positive, team-oriented culture with accountability and respect

Practice Operations & Systems

  • Oversee daily practice workflow to ensure a seamless patient experience
  • Monitor and improve office systems, processes, and efficiency
  • Manage facility maintenance, vendor relationships, and contracted IT support
  • Identify opportunities to streamline operations and support the practice's vision

Human Resources & Team Development

  • Assist with hiring, onboarding, training, coaching, and performance evaluations
  • Support the Business Manager with HR processes, documentation, and compliance
  • Help maintain a healthy, supportive workplace environment

Business Performance & Communication

  • Track and report key performance indicators (KPIs) to leadership
  • Facilitate clear communication between all departments
  • Help implement business initiatives, goals, and improvements

QualificationsEducation & Experience

  • Management experience required
  • Dental or healthcare office experience required (orthodontic preferred)
  • Associate or Bachelor's degree strongly preferred
  • HR, customer service, and team leadership experience are valuable assets

Skills & Abilities

  • Strong initiative, judgment, and problem-solving skills
  • Excellent communication and interpersonal abilities
  • Highly organized with strong follow-through and prioritization skills
  • Confident in delegating and leading with a servant-leadership mindset
  • Proficiency in Google Workspace and Microsoft Word/Excel
  • Experience with Dolphin Management is a major plus (or willingness to learn through our training resources)

Time Commitment & Expectations

  • Monday–Friday, approximately 40 hours per week
  • Occasional availability outside standard hours for meetings or training
  • Willingness to respond to communications after-hours when necessary

Pay: From $75,000.00 per year
