At Disbennett Wealth Management Group, we excel because our people do. We're seeking an Executive Assistant who will serve as a dedicated support partner to our Chief Operations Officer (COO). The ideal candidate is a proactive problem solver with exceptional communication skills, outstanding professionalism, and meticulous attention to detail. Objectives of This Role
- Provide direct support to the COO to ensure operational priorities, regulatory requirements, and firm initiatives are executed efficiently and accurately.
- Serve as a resource to the team by offering supplemental support and ensuring seamless coordination of several office operations.
- Maintain and improve internal processes that support the operational functions of the firm, helping to streamline workflows and enhance overall client service.
- Facilitate communication across the firm by coordinating with internal team members, clients, and external partners to support ongoing projects and tasks.
- Anticipate needs and plan work proactively to help ensure that the COO's priorities are met, organizational goals are advanced, and industry best practices are upheld.
Responsibilities
- Manage the COO's professional calendar, including meeting coordination, internal reviews, client-related scheduling, and operational logistics.
- Coordinate complex and dynamic scheduling needs, ensuring the seamless flow of information and preparation of materials for the COO and team.
- Support the COO in preparing documents, reports, presentations, and operational data with accuracy and clarity.
- Support marketing initiatives, campaigns. tracking and reporting.
- Assist in planning and coordinating client events.
- Provide back-up support to office administration.
- Support ongoing efforts for growth with new clients and continuous interaction with current clients to provide an excellent client experience.
- Maintain internal filing systems, compliance-related documentation, CRM updates, and operational databases with exceptional attention to detail.
- Handle incoming communications on behalf of the COO—monitoring email, organizing information, and ensuring timely follow-up on action items.
- Provide general administrative support such as document creation, data entry, organizing operational records, and preparing meeting notes.
- Uphold strict confidentiality and exercise sound judgment in handling sensitive client information and internal firm matters.
- Assist with planning and coordinating internal meetings, training sessions, and team events.
Required Skills & Qualifications
- Four or more years of administrative experience supporting senior leadership, preferably within financial services or a professional office environment.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- Strong time-management skills and the ability to coordinate multiple concurrent projects and deadlines.
- Proficiency with office productivity tools (Microsoft Office Suite, Adobe, CRM systems) and comfort learning new technology.
- Flexible team player who is highly dependable, adaptable, and unafraid to take on new challenges.
- Demonstrated ability to maintain confidentiality and manage sensitive information responsibly.
Preferred Skills & Qualifications
- Experience supporting operations functions, particularly in wealth management, financial services, or another regulated environment.
- Familiarity with building or refining operational processes, workflows, or filing systems.
Job Type: Full-time
Pay: $40, $45,000.00 per year
