Duties

  • Greet visitors, clients, and staff with a friendly and professional demeanor, creating a positive first impression
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle incoming correspondence, including emails, mail, and packages, ensuring timely distribution
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office
  • Perform data entry, proofread documents for accuracy, and assist with clerical tasks such as photocopying and scanning
  • Support calendar management by scheduling appointments, meetings, and reminders for staff or management
  • Assist with basic bookkeeping tasks using QuickBooks or similar software to track expenses or invoices
  • Provide excellent customer support by addressing inquiries promptly and professionally
  • Manage office supplies inventory and coordinate procurement to ensure smooth office operations
  • Support specialized roles such as dental or medical receptionist duties if applicable, including patient check-in and record management

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy with the ability to learn new software quickly
  • Strong typing skills with high accuracy; familiarity with data entry tasks preferred
  • Bilingual abilities are a plus for serving diverse clientele effectively
  • Experience working with multi-line phone systems and providing exceptional phone etiquette
  • Previous clerical or administrative experience demonstrating reliability and professionalism
  • Knowledge of basic bookkeeping practices using QuickBooks or similar programs is desirable
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Ability to manage time effectively in a busy environment while maintaining high-quality work standards
