We are seeking a proactive and detail-oriented Inbound Coordinator to join our Head Office Logistics team. In this role, you will be responsible for managing inbound containers, coordinating transport activities, and ensuring the accurate processing and validation of invoices. You will work closely with internal teams, shipping partners, and warehouse operations to ensure the smooth movement of goods from origin to delivery. Your ability to stay organised, communicate clearly, and maintain high accuracy will play a key part in delivering excellent service to our customers.
Key Responsibilities
Maintain and update the inbound shipping log, ensuring all changes to schedules are captured promptly.
Plan and prioritise the call‑off sequence of containers from the port based on customer orders, inventory requirements, and cost‑avoidance measures.
Coordinate inland transport with hauliers and warehouse teams to support efficient delivery and unloading.
Lead daily inbound review meetings, clearly communicating updates, risks, and changes to the wider logistics team.
Process, validate, and reconcile freight, shipping, and associated logistics invoices, identifying discrepancies and resolving issues with suppliers.
Liaise with internal departments—including Products, Finance, and Sales—to support smooth inbound flows and timely information sharing.
Monitor inbound performance and highlight delays, bottlenecks, or cost risks to the Logistics Manager.
Key Requirements
Exceptional attention to detail and strong organisational skills, with the ability to manage multiple priorities.
Confident working in a fast‑paced environment and meeting deadlines.
Experience coordinating inbound shipments or working in logistics, supply chain, or freight operations.
Proficient in Microsoft Excel and Microsoft Office.
Experience with SAP or similar ERP systems is advantageous but not essential.
Strong communication skills with the ability to build effective relationships internally and externally.
