We are seeking a dynamic and highly organized Administrative Assistant/Personal Assistant to join our team. Duties
- Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Assist with event planning, including organizing logistics, preparing materials, and coordinating vendors to ensure successful company events.
- Handle phone etiquette professionally across multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
- Perform data entry, bookkeeping, and basic QuickBooks tasks to maintain accurate financial records and assist with invoicing or expense tracking.
- Manage office operations by overseeing filing systems, maintaining office supplies, and ensuring the front desk runs smoothly.
- Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and assisting with transcription tasks.
- Facilitate communication with clients and team members through excellent customer service skills while maintaining confidentiality and professionalism at all times.
Qualifications
- Proven experience as an administrative assistant or personal assistant with strong office management skills.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar.
- Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping practices.
- Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment.
- Strong typing skills along with attention to detail for proofreading and transcription duties.
- Exceptional phone etiquette skills across multi-line systems coupled with outstanding customer service abilities.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Previous experience supporting executives or high-level professionals is preferred but not required; office experience or clerical background is essential.
