SciTech Services, Inc. is seeking an Executive Assistant for the National Institute of Dental and Craniofacial Research (NIDCR). The position provides direct support to senior leadership in the Immediate Office of the Director (IOD) by managing administrative tasks, coordinating schedules, and facilitating efficient operations within the organization.

Duties include but are not limited to:

  • Provide daily operational support for high-level administrative functions.
  • Oversee executive-level projects, anticipate needs, and manage priorities.
  • Collaborate closely with executives and managers on projects, reports, and deliverables.
  • Conduct operational analysis to identify inefficiencies and recommend solutions to streamline workflows and enhance productivity.
  • Act as a liaison between senior leaders, staff, and external stakeholders, ensuring a smooth and effective flow of information and tasks.
  • Organize executive calendars, prioritizing and adjusting as necessary.
  • Schedule and organize meetings, conferences, and appointments, ensuring availability and minimizing conflicts.
  • Proofread, draft, and edit executive level documents , reports, and correspondences.
  • Prepare agendas, track follow-ups, and manage action items as needed.
  • Procure, inventory, and track executive team office supplies.
  • Screen incoming communications, directing to appropriate parties as needed.
  • Serve as the primary point-of-contact for internal and external communications, managing responses promptly.
  • Arrange travel logistics, including flights, accommodations, transportation, and itineraries for executive team members.
  • Coordinate special events, including team retreats, conferences, and organizational meetings.
  • Maintain an organized and accessible filing system, both digital and paper.
  • Monitor and manage budget and expenses for executive office, ensuring alignment with financial policies.
  • Assist with special projects as directed, including research, data gathering, and preparation of presentation materials.
  • Manage project timelines, deliverables, and milestones, keeping the team informed of progress.

Clearance requirement: Candidates must be eligible to obtain and maintain a favorable suitability determination and pass an employment drug screening.

Job Requirements:

  • Bachelor's degree preferred; however, relevant executive-level administrative experience may be substituted.
  • Five or more years in high-level administrative support roles reporting to executive management.
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Ability to maintain confidentiality and discretion of information.
  • This role requires a proactive individual who can anticipate needs, manage priorities, and communicate effectively.
  • Demonstrated analytical problem solving, resourcefulness, and adaptability abilities.
  • Advanced proficiency in Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint).
  • Excellent interpersonal skills, ability to communicate both verbally and in writing, positive attitude.
  • Must have outstanding organizational skills, accuracy, attention to detail, and ability to prioritize multiple tasks.
