The Program Coordinator serves as a strategic partner to the Director of Programs and other members of the executive leadership team. This dynamic role is central to the success of our programs, providing hands-on coordination, outreach and support to ensure families receive the resources and opportunities they deserve. The Program Coordinator will work closely with staff, community partners and volunteers to bring CTHF's mission to life. This position requires a high degree of discretion, independent judgement, professionalism and decision-making on matters of significance in support of the leadership team and overall organizational effectiveness.
Key Responsibilities:
· Coordinate and manage foundation programs, including patient and family assistance, adaptive sports, camps, scholarships, and special initiatives.
· Serve as a welcoming point of contact for families, hospital personnel, and community partners.
· Maintain program calendars, registrations, and logistics to ensure smooth delivery of services.
· Collect and track program data; prepare reports to measure impact and improve services.
· Assist in outreach efforts to increase awareness and participation in foundation programs.
· Support fundraising events and campaigns by collaborating with development staff and providing program insights.
· Recruit, train, and support program volunteers.
· Maintains and manages accurate volunteer and participant records using CRM software
· Works with program partners, vendors and volunteers to ensure successful program and event delivery.
· Provides support for programs, events, grant applications and reporting, including data gathering and formatting.
· Assists in program logistics, event setup/breakdown and onsite support.
· Helps track program participation, and event impact and prepare reports for internal use.
· Ensure all programs align with CTHF's mission and meet compliance requirements.
· Other duties as assigned.
· Collaborate with external accountants to assist with monthly and year-end financial reconciliations.
· Tracks and processes programmatic invoices and ensure program budget is adhered to.
· Assists with departmental projects, initiatives and other duties as assigned.
Qualifications:
· Bachelor's degree in nonprofit management, public health, social work, education, or related field (or equivalent work experience).
· 2+ years of experience in program coordination, nonprofit work, administrative or event management preferred.
· Strong organizational and multitasking skills, with attention to detail.
· Excellent communication and interpersonal abilities; comfortable working with diverse groups.
· Proficiency in Microsoft Office Suite; database management a plus.
· Flexibility to work evenings and weekends for events/programs.
· Genuine passion for supporting children with special healthcare needs and their families.
· Bilingual (English/Spanish) preferred.
· Highly organized with strong time-management skills and attention to detail.
· Excellent written and verbal communication skills and abilities.
· Ability to work both independently and collaboratively.
· High degree of integrity, discretion and professionalism in handling confidential information.
Working Conditions:
· Full-time with flexibility for evenings and weekends for events and programs.
· Able to sit and stand in an office environment.
· Must be able to lift and carry at least 50 pounds.
· Must reside in New Mexico.
