We are seeking a highly motivated and discreet Executive Assistant to join our team onsite and empower our VP of Sales & Marketing to maximize productivity and focus on core business objectives.

This role is fully onsite in Green Bay, WI. Typically a Monday-Friday schedule with standard business hours. Flexibility to work occasional evenings or weekends, or be on-call, may be required to support executive needs or special events. Occasional travel may be required, potentially accompanying the executive.

What You'll Do

  • Manage intricate calendars and scheduling, prioritizing meetings and anticipating potential conflicts.
  • Serve as a critical liaison, fielding inquiries, and streamlining communication between executives and internal and external stakeholders.
  • Plan and coordinate all aspects of travel, including detailed itineraries, flights, accommodations, and ground transportation. This responsibility may extend to accompanying the executive on business trips for on-site support.
  • Draft and prepare professional correspondence, presentations, reports, and other critical documents with meticulous attention to detail.
  • Handle highly sensitive and confidential information with the utmost discretion and integrity.
  • Manage and reconcile expense reports, process invoices, assist with budget monitoring, and handle other financial administrative tasks. This also includes managing office supplies and ensuring the executive's workspace is efficiently maintained to support uninterrupted workflow.
  • Provide administrative and coordinative support for special projects and strategic initiatives. This involves monitoring deadlines, tracking progress, conducting research, compiling data, and ensuring proactive follow-up to achieve desired project outcomes and support executive decision-making.
  • Support a fast-paced and dynamic environment with a high degree of adaptability and flexibility.

What You Bring

  • Associate's degree in Business Administration, Communication, or a related field.
  • Minimum of 3-5 years of proven experience as an Executive Assistant or in a similar high-level administrative role, with a track record of supporting senior leaders.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace.
  • Exceptional organizational and strategic time management skills, including meticulous attention to detail and the ability to effectively prioritize and manage competing deadlines.
  • Superior written and verbal communication skills, with the ability to articulate clearly and professionally across all levels of an organization and with external stakeholders.
  • Demonstrated ability to handle sensitive and confidential information with the utmost discretion, integrity, and sound judgment.
  • Proactive problem-solving and decision-making capabilities, with the ability to anticipate needs, think on your feet, and implement effective solutions swiftly.
  • High degree of adaptability and flexibility to thrive in a fast-paced, dynamic, and ever-changing environment.
