POSITION OVERVIEW:
Under the Supervision of the Director of Marketing & Communications, this position will be responsible for:
· Lead the coordination and production of proposal responses from short form sales letters & estimates to detailed Request for Proposal and Qualification (RFP/RFQ) packages.
· Perform detailed analysis of RFP/RFQ/RFI documents to assess requirements and develop compelling proposal narratives that demonstrate our value proposition.
· Facilitate proposal kickoff sessions, strategic messaging, design, and creative writing for all levels of pursuits.
· Format proposals using Adobe InDesign in line with brand standards and client expectations.
· Assure bid lists, public agencies vendor lists, City/County Building Dept Approved Special inspection lists are current.
· Maintain and update proposal content libraries, resumes, project sheets, narratives and statistics.
· Ensure proposals meet all client requirements, are error-free, and submitted on time.
· Utilize the Client Resource Management database (Salesforce) including maintenance of lead tracking, contacts, clients, and proposals.
· Assist in the development of interview presentations and collateral materials.
REQUIREMENTS:
· Detail-oriented and highly organized with strong prioritization and time management skills.
· Proactive and eager to learn, with a collaborative mindset to work effectively within a team.
· Demonstrated ability to thrive in a fast-paced and dynamic team environment, meeting critical deadlines even under pressure.

EDUCATION / EXPERIENCE:
· Bachelor's degree in Marketing, Public Relations, Communications, Graphic Design or demonstrated equivalent experience
· Proficient in Adobe InDesign and Microsoft (Word, Excel, Outlook, Teams)
· Prior experience with the RFP/RFQ process and proposal coordination (preferred)
· Familiarity with A/E/C industry (preferred)
· Strong writing, editing, and proofreading skills.
· Graphic design or layout experience.
· 2-5 years of relevant experience
