POSITION OVERVIEW:
The New Jersey Devils & Prudential Center is currently seeking an Executive Assistant to support three (3) executives: EVP Entertainment, SVP Marketing & SVP Ticketing and Premium. This position coordinates scheduling, makes travel arrangements, maintains calendars and provides other administrative support to three very busy executives. The Assistant must have the ability to maintain a high level of confidentiality at all times, multi-task in a fast paced, high-energy environment, anticipate needs and workflow, and communicate seamlessly with other executives and staff members.
RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO THE BELOW:
- Exercising discretion to act as gatekeeper, including managing calendars (for both internal and external appointments), answering, and filtering incoming calls and screening incoming emails and information, routing them to the proper internal stakeholder when needed.
- Meeting and conference coordination and preparation:
- Organizing (including attendees and location), scheduling and preparation for internal, external, and client meetings.
- Assist in preparation for internal leadership and staff meetings
- Interacting regularly with other company executives and their designees; coordinating scheduling with other HBSE executives related to consistent communication and information flow
- Preparing and editing outgoing correspondence regarding matters of significance (email messages, memos, etc.). Includes scheduling ongoing vendor communication to ensure continuity with our premium and ticketing partners.
- Supporting game/event day activities:
- Management of internal and external ticket requests and assignments, and parking.
- Support planning of event-day schedule, including scheduling and preparation of client visits, meetings (in-game), sales pitches, and prospect hosting.
- Handling special requests, including gift purchasing, coordination of tickets to games and events, etc.
- Creating and managing travel itineraries.
- Manage Team gifting coordination (engagements, weddings, babies) and birthday program support (cards, gift cards, deployment)
- Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
- Expense support (monthly Amex reconciliation)
- Performing other ad hoc and confidential administrative duties as assigned.
QUALIFICATIONS:
- 3-5 years of experience providing executive-level administrative support in a dynamic, fast-paced environment
- Demonstrated track record of supporting senior executives with complex scheduling, travel, and confidential projects
- Excellent written and verbal communication skills; ability to present ideas clearly and concisely
- Must have the proven ability to manage multiple projects and meet deadlines
- Strong computer skills (MS Office applications) required
- Close attention to detail and follow-through in all responsibilities
- Highest level of organizational skills is a must
- Ability to handle confidential information and projects with professionalism and discretion
- Capacity to work under pressure and meet deadlines; ability to identify and take charge of tasks
WORKING CONDITIONS:
- Travel Requirements: May be required to travel
occasionally
between HBSE's various offices; (95% prudential) - Work Environment: This position generally requires that work primarily be performed from the Prudential Center and its offices. It may require attendance at events taking place at the Prudential center and Jersey City venues
- Physical Requirements: Must be able to lift up to 30 pounds.
COMPENSATION AND BENEFITS:
The pay range for this position at commencement of employment is expected to be between $75,000 and $95,000/year. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience.
This position will be an "at-will position" and the Company reserves the right to modify base pay (as well as any other discretionary
