Job Summary: The Biomedical Contract Administrator is responsible for managing, tracking, and overseeing the administrative aspects of contracts related to biomedical equipment, services, and maintenance within the Saint Francis health system. This role plays a key role in ensuring compliance with contract terms, deadlines, and legal obligations while managing documentation and supporting the contract lifecycle process from inception to execution and post-award monitoring.

Minimum Education: Bachelor's degree in Business Administration, Healthcare Management, Supply Chain Management, or related field or equivalent experience.

Licensure, Registration and/or Certification: None.

Work Experience: Minimum 3 years in contract administration, with a focus on healthcare, biomedical, or related industries.

Knowledge, Skills and Abilities: Knowledge of Microsoft 365 and other applicable software to include contract management software. Excellent communication skills, both written and verbal that present clear and concise information. Strong analytical skills. Ability to work independently and collaboratively in a fast-paced environment, managing multiple priorities with competing deadlines. Sound ability to maintain professional and courteous and demonstrate flexibility and adaptability in a dynamic work environment.

Essential Functions and Responsibilities: Monitors and tracks contract renewals, expirations, and amendments, ensuring timely action to prevent disruptions in services or equipment support. Prepares and organizes contract documents, including drafting, reviewing, and editing contracts as needed to ensure completeness and accuracy. Maintains and updates contract databases, filing systems, and repositories, ensuring all documentation is accessible, accurate, and compliant. Ensures adherence to contract terms, including service level agreements (SLAs), pricing, and performance standards for biomedical equipment and services. Coordinates with internal stakeholders (e.g., legal, procurement, clinical departments) to ensure post-award compliance, managing any issues related to contract interpretation, disputes, or performance failures. Acts as a liaison between the health system and external vendors or suppliers to clarify contract terms, address queries, and negotiate modifications as required. Collaborates with the supply chain team to streamline procurement processes and ensure smooth contract execution. Prepares regular reports on contract status, performance metrics, and compliance for management and senior leadership. Maintains clear documentation of contract changes, amendments, and decisions to support auditing and regulatory requirements.

Decision Making: The carrying out of non-routine procedures under constantly changing conditions, in conformance with general instructions from a supervisor.

Working Relationships: Coordinates activities of others (does not supervise). Works with internal and/or external customers via telephone or face to face interaction. Works with other healthcare professionals and staff. Works frequently with individuals at Director level or above.
