About the Role

Irvine Mechanical a Thermal Concepts company, a leader in commercial HVAC and mechanical contracting, is seeking a Project Coordinator to support our Project Management team in Orlando, FL. This role is ideal for someone who thrives in a fast-paced construction environment, enjoys collaborating with cross-functional teams, and is passionate about seeing complex HVAC projects come to life.

As a Project Coordinator, you'll play a key role in ensuring our projects are delivered on time, within scope, and on budget—serving as the connective link between project managers, clients, vendors, and subcontractors.

Key Responsibilities

• Assist project managers with the planning, execution, and completion of HVAC construction and service projects.
• Coordinate and manage project schedules, ensuring all milestones are met.
• Maintain organized project documentation, including contracts, schedules, reports, and change orders.
• Act as a central communication point for project managers, clients, and subcontractors.
• Track project progress, report on status updates, and identify potential risks or delays.
• Support procurement efforts by coordinating materials, equipment, and vendor services.
• Prepare and distribute project-related documents such as meeting minutes, schedules, and progress reports.
• Monitor project budgets, assist with expense tracking, and process invoices.
• Collaborate with internal teams to resolve project-related challenges quickly and efficiently.
• Ensure all project activities comply with company policies, procedures, and safety standards.

Qualifications

• Associate's or Bachelor's degree in Project Management, Business Administration, or a related field.
• 2–4 years of experience in project coordination, preferably in HVAC or construction.
• Strong organizational skills with the ability to manage multiple priorities.
• Proficiency in Microsoft Office Suite and project management tools (e.g., MS Project, Procore).
• Excellent communication and interpersonal skills.
• Working knowledge of HVAC systems and construction processes is highly preferred.
• Self-motivated with the ability to work independently and within a team.

Job Type: Full-time

Pay: $60, $80,000.00 per year
