The HR Onboarding Coordinator is responsible for creating a welcoming and seamless onboarding experience for new colleagues at VitalCaring Group. In this role, you will supports the human resources department by coordinating and executing the onboarding process to ensure all new hires are properly equipped and prepared for success. . The ideal candidate will have strong attention to detail, excellent communication skills, and a passion for creating a positive experience for our new colleagues joining our company.

In this role, you'll be the welcoming face of VitalCaring, ensuring that every new team member experiences a seamless, supportive, and inspiring onboarding journey.

As The HR Onboarding Coordinator, You Will

  • Lead the onboarding experience from offer acceptance to first day.
  • Facilitate Virtual General Orientation (VGO) and ensure timely distribution of welcome and training materials.
  • Coordinate background checks, documentation, and compliance requirements.
  • Manage and track onboarding progress in Smartsheet and distribute new hire surveys.
  • Support I-9 and HR system training for managers.
  • Maintain confidential and accurate personnel records in HR systems.
  • Continuously improve processes to enhance the new hire experience.
  • Collaborate with HR and leadership to drive best practices across the team.

What You Bring

  • 3–5 years of experience in HR, onboarding, or talent coordination (healthcare or home health preferred).
  • High school diploma required; Associate degree or HR certification preferred.
  • Proficiency in Microsoft Office Suite, Smartsheet, and HR systems (UKG, HCHB a plus).
  • Exceptional organization, accuracy, and communication skills.
  • A proactive, service-oriented mindset — and a heart for helping others succeed.
