Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess excellent communication skills, and have experience with various office software and systems. Bilingual abilities are a plus, and previous experience in medical or dental reception is advantageous. Duties

  • Greet visitors and clients at the front desk with professionalism and courtesy
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendars for staff and clients
  • Perform data entry, maintain filing systems, and ensure accurate record keeping
  • Handle correspondence via email, mail, and other communication channels
  • Utilize QuickBooks for basic bookkeeping and invoicing tasks
  • Support office management tasks including supply ordering and inventory tracking
  • Assist with customer support by addressing inquiries promptly and efficiently
  • Proofread documents for accuracy before distribution
  • Maintain a clean and organized reception area to promote a welcoming environment
  • Support personal assistant duties as needed, including calendar management

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in data entry, filing, and document proofreading
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional phone etiquette and customer service skills
  • Experience with multi-line phone systems and office management software such as QuickBooks
  • Bilingual abilities are preferred to assist diverse client needs
  • Previous clerical or administrative experience in an office setting is highly desirable
  • Knowledge of medical or dental receptionist procedures is a plus
  • Ability to handle multiple tasks efficiently while maintaining attention to detail
  • Strong time management skills to meet deadlines consistently
