About the Position
We are seeking a detail-oriented, organized, and professional Receptionist to join our law firm. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus, as well as experience in a law firm setting. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations within our office.
Key Responsibilities
- Answer, screen, and route incoming phone calls in a courteous and efficient manner
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls appropriately with proper phone etiquette
- Organize, maintain, and update physical and digital client files in accordance with firm procedures
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Manage attorney and firm calendars, including scheduling meetings, court dates, and appointments
- Make court filing runs and deliver documents as needed
- Sort, distribute, and manage incoming and outgoing mail and deliveries
- Assist with general office tasks, including copying, scanning, and data entry
- Support attorneys and staff with administrative projects as assigned
- Support administrative tasks, including typing, proofreading, and supporting clerical functions
- Manage incoming and outgoing correspondence, including emails and mail distribution
- Maintain confidentiality of sensitive information and uphold organizational standards
Qualifications
- Previous experience in an office or reception role; law firm experience preferred
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to multitask and prioritize in a fast-paced environment
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and customer service skills
- Ability to type accurately and efficiently; familiarity with proofreading is a plus
- Experience working with multi-line phone systems and calendar management tools
- Bilingual abilities are preferred to serve diverse client needs
- Proficiency with Microsoft Office (Word, Excel) and Google Workspace and basic office technology
- Professional demeanor and strong customer service orientation
- Strong organizational skills with attention to detail and time management capabilities
- Valid driver's license and reliable transportation for court filing runs

Pay: From $17.00 per hour
