Job Description

As the Office Manager, you will lead all HR functions, aligning initiatives with company goals, overseeing recruitment, employee relations, performance management, and compliance to foster a positive work culture. Your role involves developing and implementing HR strategies supporting organizational growth while ensuring regulatory compliance. Serving as a trusted advisor to management and employees, you'll provide guidance and support on HR matters, driving initiatives to enhance employee engagement and professional development. Additionally, you'll ensure the smooth operation of our office, requiring proactive organizational skills and adeptness at multitasking. DUTIES AND RESPONSIBILITIES

  • Oversee general office operations, including managing office supplies, equipment, and facilities.
  • Handle correspondence, emails, and phone calls, directing inquiries to the appropriate departments.
  • Maintain accurate records and files, both physical and electronic, ensuring easy access to information.
  • Manage accounts payable and receivable processes, including invoicing and expense tracking.
  • Assist with budget preparation and monitoring, ensuring expenditures are within budgetary limits.
  • Coordinate with the office Assistant the office logistic such as room bookings, catering, and equipment setup for meetings and events, arrange travel accommodations and itineraries for employees and guests, meetings, appointments, and events, both internal and external.
  • Develop and implement HR strategies aligned with the company's overall objectives and growth plans.
  • Collaborate with plant management to identify HR needs and priorities and develop solutions to address them.
  • Conduct regular assessments of HR processes and practices to ensure effectiveness and efficiency.
  • Manage the full recruitment lifecycle, from job posting and candidate sourcing to interviewing and hiring.
  • Develop job descriptions and job specifications for open positions.
  • Coordinate employee onboarding and orientation programs to ensure a smooth transition for new hires.
  • Serve as a trusted advisor to management and employees on HR-related issues and concerns.
  • Handle employee grievances, conflicts, and disciplinary actions in accordance with company policies and procedures.
  • Foster a positive work culture and employee morale through effective communication and engagement initiatives.
  • Oversee the performance management process, including goal setting, performance evaluations, and feedback mechanisms.
  • Provide guidance and support to managers and supervisors on performance improvement plans and employee development.
  • Identify training needs and develop training programs to enhance employee skills and capabilities.
  • Coordinate employee development initiatives, including workshops, seminars, and online training resources.
  • Ensure compliance with all federal, state, and local labor laws and regulations.
  • Maintain up-to-date knowledge of HR legal requirements and industry best practices.
  • Prepare and submit required reports and filings to regulatory agencies as necessary.
  • Serve as the primary point of contact for internal and external stakeholders, providing excellent customer service.
  • Communicate effectively with team members, ensuring timely dissemination of information and updates.
  • Liaise with vendors, suppliers, and service providers to ensure seamless operations.

SKILLS AND QUALIFICATIONS

  • Bachelor's degree in human resources, business administration, or a related field required.
  • Minimum of 3 years of progressive HR experience.
  • Strong knowledge of HR principles, practices, and procedures.
  • Proficiency in Microsoft Office and other HR software applications.
  • Excellent communication and interpersonal skills, with the ability to build effective relationships at all levels of the organization.
  • Strong organizational and multitasking abilities, with keen attention to detail.
  • Strong leadership abilities, with a proven track record of effectively managing and developing a high-performing HR team.
  • Ability to handle sensitive and confidential information with discretion and integrity.
  • Suite and other relevant software applications.
  • Knowledge of HR processes and practices is a must.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • Demonstrated leadership skills and a proactive approach to problem-solving.
