Responsibilities
- Manage front desk duties, greeting visitors with professionalism and warmth while maintaining a positive first impression.
- Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using excellent phone etiquette.
- Handle data entry tasks with accuracy, including updating records in various software systems such as Microsoft Office and Google Workspace.
- Organize and maintain filing systems—both digital and physical—to ensure easy retrieval of documents and compliance with record-keeping standards.
- Assist with calendar management by scheduling appointments, meetings, and coordinating events for staff members or executives.
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping.
- Proofread correspondence, reports, and other documents to ensure clarity, accuracy, and professionalism.
- Provide customer support by responding to inquiries via phone or email in a courteous manner while maintaining confidentiality.
- Perform general office management tasks such as ordering supplies, managing office equipment, and ensuring the workspace remains organized and efficient.
- Support personal assistant duties as needed—such as travel arrangements or special project coordination—while demonstrating excellent time management skills.
- Assist with medical or dental receptionist responsibilities when applicable, including appointment scheduling and patient communication.
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools.
- Experience with QuickBooks or bookkeeping is highly desirable.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional typing speed and accuracy; keen proofreading abilities for professional documentation.
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette across multi-line phone systems.
- Previous experience as a receptionist—financial services—is advantageous but not required; relevant personal assistant experience is also valued.
- Knowledge of office equipment such as printers, scanners, fax machines, and basic troubleshooting skills.
- Ability to handle confidential information discreetly while maintaining high levels of professionalism.
