Job Summary
We are seeking an organized and proactive Office Manager to oversee daily office operations and ensure efficient administrative functions. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a comprehensive understanding of office management, including human resources, bookkeeping, and vendor relations. This role requires a detail-oriented professional capable of managing multiple tasks such as scheduling, event planning, and team supervision to support the overall success of our organization.
Responsibilities
- Manage day-to-day office operations, including front desk duties and multi-line phone systems
- Oversee calendar management and schedule coordination for staff and executive meetings
- Supervise administrative staff and coordinate training & development initiatives
- Handle human resources functions such as onboarding, employee records, and payroll processing
- Maintain accurate bookkeeping records using QuickBooks or similar software
- Manage vendor relationships and negotiate contracts to ensure cost-effective service delivery
- Plan and coordinate company events, meetings, and special projects
- Oversee budgeting processes and monitor office expenses to stay within financial guidelines
- Ensure proper filing systems are maintained for easy document retrieval
- Uphold professional phone etiquette and excellent communication with clients, vendors, and staff
- Support medical office management if applicable, including appointment scheduling and patient record handling
Skills
- Proven experience in office management or administrative roles with clerical or office experience.
- Must have scheduling experience.
- Must have experience with client referrals and admissions.
- Must have experience with ODM waiver and DODD waiver programs.
- Experience with insurance approvals, ODM and various plans.
- Must have knowledge of Sandata and EVV billing.
- Must have knowledge and experience using CradleMRX.
- Must have experience with Case Managers.
- Strong mathematical skills are a must.
- Willingness to learn new programs/skills.
- Proficiency with Microsoft Word and Excel.
- Proficiency with emailing.
- Experience with answering numerous calls and relaying messages.
- Proficiency and experience with documentation.
- Experience with payroll.
- Experience with managing client charts and employee files.
- Strong supervisory experience with team management capabilities
- Proficiency in QuickBooks, calendar management software, and multi-line phone systems
- Excellent organizational skills with attention to detail in bookkeeping, filing, and record keeping
- Effective communication skills for training staff, vendor negotiations, and client interactions
- Experience in event planning, human resources functions, payroll processing, and budgeting
- Ability to handle front desk responsibilities with professionalism and courtesy
- Demonstrated ability to manage schedules efficiently and prioritize tasks effectively
- Knowledge of medical office management (preferred) along with strong training & development skills
Expected hours: 8.0 per week
