We are a BUSY podiatry clinic in Gilbert & we need a front desk superstar

We're looking for that front desk person — the unicorn who can juggle phones, paperwork, patients, and the occasional curveball like the printer deciding to "take a personal day." If you thrive in a busy medical environment, can multitask without combusting, and love being the reason everything runs smoothly, keep reading.

Also, we do a lot of marketing. So if the idea of being in a TikTok, Reels video, or an office photo makes you want to hide under a desk… this might not be your vibe. If you're cool with appearing onscreen occasionally (fully clothed, fully professional, and fully fun), you'll fit right in.

Your Daily Responsibilities (aka: The Things That Keep This Clinic Alive)

Patient Check-In & Check-Out:

  • Greet patients with A+ energy and professionalism; even before your coffee hits.
  • Verify demographics, insurance, and all the important details patients somehow forget every single visit.
  • Collect co-pays, outstanding balances, and keep financial conversations calm + professional.
  • Make sure patients actually fill out their online paperwork and don't pretend they "didn't see the link."
  • Keep check-in/check-out flowing efficiently so no one feels lost or forgotten.

Scheduling & Communication (You = Air Traffic Control)

  • Manage phone lines like a seasoned call center boss — scheduling, canceling, rescheduling, and gently reminding people we are not psychic about their appointment needs.
  • Protect the schedule with your life: no empty slots, no chaos.
  • Send appointment reminders, follow-up messages, and "hey, don't forget your referral" notices.
  • Communicate patient needs to providers and back-office staff because mind-reading is not in anyone's job description.

Insurance, Authorization, & Admin (The Glamorous Part… Kidding)

  • Verify insurance and eligibility like the administrative detective you are.
  • Obtain referrals, and approvals — and track them so they don't vanish into the abyss.
  • Scan, upload, and index every document correctly (bless those who label files properly).
  • Ensure charts are complete, organized, and make sense to anyone who opens them.

Clinic Flow & Support (You're the Glue, Sorry About It)

  • Work closely with providers and medical assistants to keep them running on time (or as close as actually possible).
  • Help manage patient flow in the lobby, prioritizing, updating, smoothing things over when someone is grumpy.
  • Keep the front desk clean, stocked, and aesthetically acceptable.
  • Jump in with miscellaneous tasks because teamwork makes the dream work (and makes the day less chaotic).

Professionalism With Flavor (Your Signature Style)

  • Maintain a friendly, polished tone even when dealing with stress or spicy patient attitudes.
  • Use good judgment, you're representing the practice from the moment the door opens.
  • Bring your "I'm adaptable and capable AF" energy daily.
  • Uphold confidentiality, HIPAA compliance, and general common sense at all times.
  • Adapt to a busy environment without folding like a lawn chair.
  • Bring team energy, accountability, and a positive attitude.
