About the Role

Rooter-Man is seeking a highly organized, detail-oriented Plumbing Office Manager to oversee daily administrative operations and support our field technicians, customers, and leadership team. This position plays a key role in keeping the office running efficiently, ensuring excellent customer service, and maintaining accurate operational and financial records.

Key Responsibilities
  • Oversee daily office operations to ensure workflow efficiency and accuracy.
  • Manage incoming calls, service scheduling, and customer communication.
  • Support dispatch team with job assignments, updates, and technician coordination.
  • Process invoices, payments, purchase orders, and warranty claims.
  • Assist with payroll preparation (timecards, corrections, approving hours).
  • Oversee inventory tracking, ordering supplies, and vendor communication.
  • Monitor and update customer accounts, service agreements, and work orders.
  • Prepare reports for management (productivity, scheduling, revenue, KPIs).
  • Ensure safety protocols are followed and coordinate with the Safety Director as needed.
  • Support hiring, training, and performance documentation for office staff.
  • Uphold a professional, positive atmosphere for customers, technicians, and office staff.

  • Previous experience as an Office Manager, Service Manager, or Administrative Lead (plumbing/HVAC preferred).

  • Strong understanding of plumbing or home-service industry workflow (dispatch, invoicing, permitting, etc.).
  • Excellent communication, customer service, and conflict-resolution skills.
  • Proficient with office software and service management platforms (ServiceTitan, Paycom, Housecall Pro, or similar).
  • Ability to multitask in a fast-paced environment and manage competing priorities.
  • Strong organizational skills with attention to detail and accuracy.
  • Leadership experience preferred.
