Duties

  • Receives and places customer service telephone calls
  • Schedules estimates for Project Managers and updates internal calendar and CRM
  • Communicates daily with crew Foreman and provides project status and updates to the operations team
  • Performs weekly safety review with crew members either in office or on job site as needed
  • Maintains solid customer relationships by handling questions and concerns with speed and professionalism
  • Collects payments from customers as needed
  • Performs general office duties; filing, scanning, shredding, mail
  • Maintain a tidy and organized work environment while adhering to office policies and procedures

Experience

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and familiarity with QuickBooks or similar accounting software
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Experience handling multi-line phone systems and providing exceptional customer service or customer support
  • Bilingual abilities are required for communicating with clients or team members
  • Previous clerical experience including data entry, filing, proofreading, and calendar management is highly desirable
  • Knowledge of office equipment such as printers, scanners, fax machines, and office management tools is beneficial
  • Demonstrated time management skills with the ability to multitask efficiently while maintaining accuracy
