We are seeking a dynamic and highly organized Executive Assistant/Operations Manager to join our team This pivotal role combines high-level administrative support with operational oversight, ensuring the smooth functioning of daily activities and strategic initiatives. Hospitality experience is a must.
The Executive Assistant provides high-level administrative, operational, and organizational support to Owner and, as required, to other Owners and senior leadership. This role is central to ensuring smooth information flow, timely execution of tasks, proper coordination among teams, and consistent follow-up across all business units. Hospitality operations experience is a strong plus, as the role interacts frequently with department heads, venue operations, and leadership. Light bookkeeping responsibilities will also be part of the administrative duties.
Key Responsibilities
Executive & Administrative Support
Provide daily reporting and communication to owner, ensuring alignment on priorities and deadlines.
Manage executive calendars, appointments, travel, meetings, and agenda preparation.
Draft, edit, and prepare letters, emails, documents, proposals, and presentations.
Handle incoming calls, emails, mail, and messages professionally and promptly.
Screen and answer emails along with prioritizing and routing appropriately.
Office & Operations Administration
Maintain organized physical and digital filing systems.
Oversee general office administrative functions, supplies, and vendor communications.
Retrieve information, reports, and updates from department heads based on the timelines established by owners
Assist with operational coordination involving hospitality venues and teams when necessary.
Provide support in administrative tasks related to hospitality operations.
Task Delegation, Implementation & Follow-Through
Delegate tasks to staff or departments when appropriate and track progress through completion.
Ensure all assigned tasks from Owners or the Director of Operations are executed correctly and on schedule.
Maintain accountability systems to ensure implementation, follow-through, and results.
Prepare timely, accurate, and confidential reports as requested.
Light Bookkeeping & Financial Assistance
Assist with basic bookkeeping tasks such as:
Invoice organization and submission
Receipt management
Expense tracking
Coordination with accounting/bookkeeping teams
Maintain accuracy and confidentiality in all financial documentation.
Communication & Professional Conduct
Serve as a liaison between ownership and internal departments, ensuring smooth communication.
Uphold a highly professional, polished, and discreet demeanor at all times.
Handle sensitive information with strict confidentiality.
Qualifications
A few years of experience as an Executive Assistant or similar role.
Experience in hospitality or operations strongly preferred.
Strong written and verbal communication skills.
Highly organized, detail-oriented, and able to multitask effectively.
Proficiency with Microsoft Office, Google Workspace, and administrative systems.
Prior experience with basic bookkeeping is a plus.
Ability to operate in a fast-paced environment with shifting priorities.
High degree of discretion, reliability, and professionalism.

Pay: $65, $85,000.00 per year
