Position Summary

The DUI Administrative Assistant plays a vital role in the operation of Bi-Bett's DUI programs. This position supports both the clinical and compliance functions of the program by maintaining accurate records, processing legal and DMV documentation, and providing front-line support to participants, courts, and agency staff. This is a fast-paced, detail-driven role ideal for a highly organized professional who thrives in a mission-focused environment.

Key Responsibilities

  • Process all incoming court referrals, DMV paperwork, and legal documents with attention to accuracy and timeliness
  • Manage client files in accordance with agency policies and state regulations; conduct periodic audits to ensure file completeness
  • Maintain and update participant records, including attendance tracking, intake data, progress notes, and required forms
  • Input and update client status (completions, terminations, and certifications) in the DMV system and program database (Accounting and Scheduling Software)
  • Assign and schedule intake appointments for new participants
  • Answer and route incoming calls, respond to emails, and greet visitors professionally and courteously
  • Prepare and maintain class rosters and assist in coordinating class schedules
  • Handle general office tasks, including correspondence, filing, faxing, scanning, and document preparation
  • Assist in generating reports for court appearances, DMV verification, and internal audits
  • Collaborate with counselors and supervisors to ensure smooth client flow and regulatory compliance
  • Attend and actively participate in all mandatory staff meetings and in-service trainings
  • Support the overall goals of the DUI program and agency by taking on other administrative duties as assigned
Qualifications

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree in human services, behavioral health, or a related field preferred
  • Minimum of 1 year of administrative experience in a clinical, legal, or non-profit setting (DUI or substance use treatment program experience strongly preferred)
  • Strong organizational skills and attention to detail, especially in managing time-sensitive or confidential documentation
  • Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, Outlook) and database systems
  • Familiarity with recovery, addiction, or behavioral health terminology is a plus
  • Excellent verbal and written communication skills; bilingual (Spanish/English) preferred
  • Ability to manage multiple priorities while maintaining professionalism and composure
  • Experience with accounting software or similar client data management systems a strong plus
  • Must be culturally competent and comfortable working with diverse populations
  • Medical clearance required prior to hire
  • Must adhere to confidentiality and HIPAA compliance standards


This is a non-exempt position. Full-time position.

Salary Range: $ $24.00

Salary/Wage commensurate with experience, education, certification or license.
