Duties
- Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
- Operate multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
- Handle data entry tasks using computer skills in Microsoft Office, Google Workspace, and other relevant software to update records and maintain databases
- Organize and maintain filing systems, ensuring documents are accurately stored and easily retrievable
- Support calendar management by scheduling appointments, meetings, and events with efficiency and precision
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support basic financial record-keeping
- Provide customer support by addressing inquiries promptly, offering solutions, and ensuring positive interactions at all times
Requirements
- Proven office management or administrative experience with a strong background in clerical duties
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Experience with data entry, proofreading, filing, and maintaining accurate records
- Exceptional phone etiquette skills along with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Personal assistant or medical/dental receptionist experience is a plus for understanding specialized office environments
- Knowledge of bookkeeping practices using QuickBooks or similar software is advantageous
- Demonstrated time management skills to prioritize tasks efficiently and meet deadlines
