Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves managing front desk responsibilities, handling multi-line phone systems, and providing exceptional customer service to clients and staff. Bilingual skills are a plus, enabling effective communication with diverse populations. The Administrative Assistant will play a vital role in maintaining efficient office workflows, supporting various departments, and ensuring smooth daily operations.
Responsibilities
- Greet visitors and manage front desk duties with professionalism and courtesy
- Answer and direct calls using multi-line phone systems, demonstrating excellent phone etiquette
- Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Handle correspondence, emails, and customer inquiries with promptness and professionalism
- Maintain office supplies inventory and place orders as needed
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support office management activities including record keeping, report preparation, and document management
- Provide customer support via phone or in person, ensuring positive interactions
- Collaborate with team members to streamline administrative processes and improve office efficiency
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Strong computer literacy with experience in data entry, filing, and document proofreading
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong written and verbal communication skills; bilingual abilities are a plus
- Experience in office management or administrative support roles
- Ability to handle multi-line phone systems professionally and efficiently
- Customer service orientation with a friendly demeanor
- Familiarity with calendar management and scheduling tools
- Attention to detail with good time management skills
- Previous experience as a receptionist (medical or dental), personal assistant, or in clerical roles is advantageous
Job Types: Full-time, Part-time
Pay: $ $22.00 per hour
Expected hours: 20 – 40 per week
