Job Overview
HDQ Wealth is seeking a proactive and detail-oriented Administrative Assistant to join our team in Kansas City. This role is essential to ensuring smooth day-to-day operations, supporting advisors and executives, and delivering an exceptional client experience. The ideal candidate will be highly organized, tech-savvy, and professional, with the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Serve as the first point of contact for clients and visitors, providing a warm and professional experience.
  • Manage office operations, including answering and directing calls with excellent phone etiquette.
  • Schedule appointments, maintain calendars, and coordinate meetings for advisors and executives.
  • Prepare and edit documents using Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook).
  • Maintain organized filing systems and perform accurate data entry.
  • Support client service by responding promptly to inquiries and ensuring follow-up.
  • Proofread correspondence and reports for accuracy and professionalism.
  • Handle general office tasks such as event management, snack inventory, mail distribution, photocopying, and supply management.
  • Provide occasional personal assistant support, including prioritizing tasks and managing deadlines.

Qualifications

  • Previous experience in administrative or office support roles; experience in financial services is preferred but not required.
  • Strong proficiency in Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills and ability to multitask effectively.
  • Professional communication skills and exceptional phone etiquette.
  • High attention to detail and strong proofreading ability.
  • Experience with calendar management and office operations.
  • College degree is preferred but not required.
  • Bilingual abilities are a plus.
