Office of Deputy Commissioner - Bismarck, ND - Executive Assistant

Play a pivotal role in facilitating the Health and Human Service's (HHS) Deputy Commissioner's daily activities, maintaining communication with internal and external stakeholders and ensure the smooth operation of the office. This position will report to the Executive Assistant to the Commissioner of HHS whom you will closely work with to gain knowledge of, assist with the maintenance of and establish standard operating procedures in the executive office.

As the Executive Assistant to the Deputy Commissioner, you will manage a busy calendar, coordinating appointments, meetings, and travel arrangements. You will prepare correspondence, reports, and presentations, ensuring accuracy and professionalism in all communications. Facilitating both internal and external meetings will be essential, including compiling agendas, recording minutes, and following up on action items.

To thrive in this position, you must possess proven experience as an executive assistant supporting C-level executives or senior management. Your organizational and time management skills will be crucial in prioritizing tasks effectively and meeting deadlines. Strong written and verbal communication abilities are required, with proficiency in Microsoft Office Suite and other relevant software. Maintaining composure and professionalism in high-pressure situations is essential, given the sensitive nature of the role, which demands discretion and trustworthiness in handling confidential information.

To be considered for this position, you must have an associate's degree and five (5) years of proven experience as an executive assistant or similar role or seven (7) years of proven experience. Experience in healthcare or public sector is a plus.

Location: This position requires onsite attendance due to its responsibilities and therefore will be based in the Judicial Wing of the North Dakota State Capitol in Bismarck, ND, and consistent attendance and reliable transportation are essential. Consideration may be given to occasionally work from home after the probationary period has ended.
