Position Summary The Internal Recruiting Coordinator (IRC) keeps Good Life's Business Development team highly organized, data-driven, and on schedule. This role centers on pipeline management, reporting, and process coordination. This role will analyze activity, maintain precise Salesforce (CRM) hygiene, prepare materials and follow-ups, and ensure prospective advisors progress smoothly from first touch through onboarding.
Key Responsibilities
Essential Roles and Responsibilities
  • Pipeline & Salesforce (CRM) Ownership: Maintain accurate Salesforce records, next steps, and timelines; enforce stage definitions and SLAs to ensure nothing falls through the cracks while executing daily CRM maintenance and opportunity updates to support deal progression.
  • Reporting & Insights: Build and review weekly/monthly dashboards on funnel health, time-to-stage, conversion rates, and activity versus outcomes; surface insights on lead flow and flag high-potential prospects for rep outreach.
  • BD Enablement & Coordination: Manage calendars, prepare meeting briefs, assemble prospect packets, and track deliverables and deadlines to support business development activities.
  • Diligence & Visit Support: Coordinate agendas, logistics, and materials for business-prospect calls and home-office visits; capture notes and follow-up actions to ensure productive meetings.
  • Confirmatory Outreach: Make calls/emails to confirm details, schedule meetings, or collect missing information.
  • Internal Task Coordination & Deal Support: Work closely with reps to manage interval tasks and collaborate with internal teams (Legal, Compliance, Operations, Finance) to resolve deal blockers, gather required documentation, and ensure all deliverables are completed to move deals across the finish line.
  • Issue Tracking & Resolution: Log compliance, tech, data, or legal blockers; assign to owners, track progress, and maintain visible issues log until resolution.
  • Process Improvement: Document SOPs, streamline handoffs with Transitions, Compliance, and Marketing teams, and recommend efficiency upgrades to optimize deal flow and internal coordination.
  • Quality & Compliance: Ensure communications, files, and data align with firm policies and industry requirements.
  • Daily and Monthly Responsibilities
  • Maintain accurate and up-to-date records of interactions with candidates using CRM (SalesForce) software. Track lead status, follow-up actions, and conversion rates to optimize recruitment processes.
  • Host and meet with advisors during 'home office visits' to address advisor's questions and concerns including, but not limited to, package-offerings, stand-up services, and on-going services.
  • Prepare presenters for home office visits so that all parties understand what wins Good Life can provide to support specific needs of the Advisor.
  • Stay informed on industry trends, competitor offerings, and evolving regulations impacting financial advisors. Provide feedback to management on competitor activities, industry shifts, and potential recruiting strategies.
  • Educate internal staff on the nuances of recruiting infrastructure and data to instill partnership to create best outcomes and gains for our value proposition.

  • Qualifications  Education
  • Bachelor's degree in business, finance, or related field of study preferred.

  • Experience
  • 2-5 years required in sales operations, recruiting coordination, or similar pipeline/CRM role (within financial services a plus). 
  • 2+ years supporting or working as a financial advisor preferred.
  • Proficiency required with CRM (e.g., Salesforce/HubSpot), Excel/Sheets (pivot tables, lookups), and basic dashboarding.
