OPERATIONS MANAGER
To fully own operational excellence across all current and new clinics.
Overnight Travel: 3-4 days per week; 80% by vehicle and 20% by plane
RESPONSIBILITIES
1. Own Operational Excellence Across All Clinics
- Ensure every clinic operates within the True Test operational standards, SOPs, and service expectations.
- Build, refine, and enforce operational workflows that deliver consistency across locations.
- Identify breakdowns, inefficiencies, or inconsistencies and implement immediate corrective action.
- Create standardized processes and ensure all (operational checklists, workflows, processes, etc.) are followed daily—no exceptions.
- Serve as the "eyes and ears" of the COO, proactively spotting and resolving issues before they reach executive leadership.
2. Operational Systems, Standards & SOP Management
- Create, update, and maintain all operational SOPs and training across clinic functions (front desk, med room, scheduling, inventory, etc.).
- Train all clinic teams on SOPs and enforce compliance through audits and follow-up coaching.
- Implement systems that improve predictability, reduce human error, and protect the patient experience.
- Continuously tighten operational control as the business scales.
3. Cross-Clinic Coordination & Alignment
- Ensure all clinics operate as one unified system—not separate clinics.
- Establish, facilitate, and lead recurring cross-clinic operations meetings.
- Maintain consistent communication with clinic leads to ensure seamless execution.
- Drive alignment between front desk, med room, and providers on workflow, expectations, and handoffs.
4. Performance Monitoring & Accountability
- Track, analyze, and report all clinic operational KPIs (scheduling accuracy, inventory control, patient flow, medication availability, check-in/check-out quality, etc.).
- Hold Clinic Leads accountable for operational expectations and performance.
- Identify trends and proactively escalate major operational risks to the COO.
- Maintain operational dashboards that leadership can rely on for decision-making.
5. Asset Care, Inventory, & Facility Management
- Own asset reliability across all clinics, including equipment maintenance schedules and vendor coordination.
- Implement preventive maintenance systems to minimize downtime.
- Oversee medication stock management, supply chain stability, and ordering standards—reducing backorders and stockouts.
- Ensure every clinic is clean, organized, and prepared for successful daily operations.
6. Continuous Improvement & Problem Solving
- Lead continuous improvement projects that increase efficiency, reduce friction, and improve patient experience.
- Document operational failures and convert them into permanent system improvements.
- Proactively identify opportunities to automate workflows or introduce new tools.
- Partner with Marketing, HR, and Leadership to ensure operational changes are communicated cross-functionally.
7. Staffing Support for Operations (Non-HR)
- Ensure clinics stay properly staffed according to the operations labor plan.
- Partner with HR to identify staffing gaps proactively.
- Train new hires on operational standards to accelerate onboarding.
- Support Clinic Leads in building operationally strong, consistent teams.
RESULTS
- Clinics operate consistently with high standards, minimizing the need for COO intervention.
- Clinic operations run smoothly day-to-day with predictable outcomes and minimal surprises.
- Patient experience improves as workflow efficiency, accuracy, and hospitality rise.
- Operational problems decrease due to root-cause solutions and proactive issue prevention.
- Strong alignment and collaboration between clinics—operating as one True Test system.
- COO receives clean operational reporting and no longer has to "find the fires."
- Overall business scales more smoothly because the operational foundation is strong.

Pay: $75, $93,000.00 per year
