Position Summary

The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO) and senior leadership. This role is critical in ensuring that the executive team operates efficiently by managing schedules, communications, logistics, and confidential information. The ideal candidate is highly organized, detail-oriented, proactive, and capable of handling multiple priorities in a fast-paced environment.



Key Responsibilities

Administrative Support

Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.

Prepare correspondence, reports, memos, and other documents on behalf of the CEO.

Coordinate internal and external meetings, including logistics, agendas, and follow-up actions.

Communication & Liaison

Act as a point of contact between the CEO and internal teams, clients, vendors, and stakeholders.

Screen and prioritize emails, phone calls, and messages to ensure timely responses and follow-ups.

Draft and proofread high-level communications and presentations.

Confidentiality & Document Management

Maintain strict confidentiality regarding sensitive company and personnel information.

Organize and manage files, records, and legal or compliance-related documents.

Assist with document preparation for board meetings, audits, or licensing requirements.

Project & Task Management

Track deadlines, deliverables, and project milestones to support executive-level initiatives.

Assist with preparation and coordination of special projects, events, or internal meetings.

Follow up on action items and ensure completion across departments.

Operational Support

Support office management functions, including supply ordering, vendor coordination, and facilities logistics.

Handle expense reporting, invoice processing, and other administrative tasks related to executive operations.

Provide occasional support to other executives or departments as needed.



Qualifications

Associate's or Bachelor's degree in Business Administration, Office Management, or a related field preferred.

Minimum 3–5 years of experience as an Executive Assistant or in a similar high-level administrative support role.

Excellent organizational and time management skills, with a strong attention to detail.

High level of professionalism, discretion, and integrity when handling confidential information.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and scheduling or project management software.



Preferred Attributes

Experience in the security services industry or in a regulated service environment is a plus.

Ability to work independently and adapt quickly to changing priorities.

Comfortable handling urgent matters in a calm, effective, and diplomatic manner.

Familiarity with basic HR, compliance, or client-facing functions is a plus.
