Serves as Administrative Assistant to the Chief Nursing Officer. Provides support for Nursing Supervisors and Clinical Coordinators and assumes primary responsibility for all clerical functions of Nursing Administration. Reports to the Chief Nursing Officer.
How you'll contribute
An Administrative Assistant who excels in this role:
- Provides typing services for nursing administration, including minutes, procedures, check requests, position postings, and leave requests.
- Maintains records in nursing administration, including payroll processing and timekeeping software.
- Acts as a resource for nursing personnel, assisting with check requests and verifying expense reports for signature.
- Sorts and distributes hospital mail, manages postage machine supplies and service requests.
- Serves as liaison between nursing administration, other departments, employees, medical staff, and outside agencies. Manages calendars, meetings, appointments, travel arrangements, email announcements, and software support.
- Arranges, facilitates, and documents departmental meetings, including preparing agendas, distributing materials, and creating presentations.
- Provides support to the CEO and CFO in the absence of their Administrative Assistant or as needed.
- Assists the Chief Nursing Officer with daily tasks including screening calls, correspondence, calendar management, and travel arrangements.
- Performs routine secretarial duties such as ordering supplies and updating departmental software.
- Participates in performance improvement and continuing education.
- Maintains regular and reliable attendance.
- Performs other duties as assigned.

What we're looking for
Applicants should have a high school diploma or equivalent. Additional requirements include:
- This role requires a high level of discretion and the ability to maintain strict confidentiality when handling sensitive information related to staff, patients, and organizational operations.
- Minimum of three years of clerical experience.
- Physical Requirements: Primarily clerical and computer-based work with frequent sitting, standing, and walking. Occasional bending, lifting, and reaching.
- Exposure: Occupational exposure possible; minimal contact with bloodborne pathogens or hazardous materials.
- Protected Health Information Accessed: Demographic, Clinical, Insurance, Financial, Complete Medical Record.
- Patient Populations Served: Does not provide direct patient care.
