As an Administrative Assistant, you will carry out our Mission of Love by performing a variety of administrative duties in support of the Finance Department.
Our Administrative Assistant is responsible for the following:
- Greet visitors, residents and employees coming into the office, answer their questions, or direct them to the appropriate person or department. Duties include answering all incoming calls and forwarding them to the appropriate personnel.
- Order and maintain office supplies for the Finance Department.
- Oversee the mail management duties include sorting incoming mail, scanning, distributing, processing and tracking all certified and overnight mail, meter all outgoing mail, and serve as primary contact and support for postage and folding equipment.
- Oversee maintenance management of departmental equipment and office space by coordinating service calls or completing internal maintenance requests.
- Maintain and update the Finance Department intranet, including serving as gatekeeper for ConvergePoint which contains Finance and Purchasing related policies and procedures.
- Responsible for scheduling conference rooms, quarterly staff meetings, leadership meetings, staff check-ins.
- Ensure Finance Department related documents are current and are uploaded to the MV Intranet (e.g., W9s, and phone lists)
- Process Finance Department invoices through using the appropriate Workday expense requisition function. In addition, process all new Masonic Villages leases through Workday in accordance with accounting requirements.
- Other duties as assigned.
What You Have
- High school graduate or equivalent.
- Proficiency in computer operations. Demonstrated experience with Microsoft Office Suite to include spreadsheet development and data analysis functionalities. Efficient management of digital files and databases. Experience with cloud-based collaborative tools (e.g., Microsoft Teams, SharePoint) preferred.
- Possess exceptionalcommunication skills, demonstrate a high degree ofadaptability, and exhibit meticulousattention to detail. Have a collaborative mindset with strongteamwork capabilities, the ability to think critically, a commitment to professional growth as acurious and continuous learner, and the negotiation and persuasive skillsnecessary to influence key stakeholders and drive business outcomes.
Demonstrates strong time management skills by effectively prioritizing tasks, managing competing demands, and consistently meeting deadlines as assigned. Maintains accountability for deliverables, proactively communicates progress, and ensures timely completion of responsibilities in alignment with team and organizational goals.
