Job Summary
We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. This role is vital in creating a positive first impression for visitors and clients while ensuring smooth daily operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a proactive attitude. You will manage front desk responsibilities, handle multi-line phone systems, perform clerical tasks, and support office management activities to keep our workplace running seamlessly.
Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service and ensuring they feel welcomed and attended to.
- Manage multi-line phone systems, answer inquiries promptly, direct calls appropriately, and take detailed messages when necessary.
- Maintain a tidy and professional front desk area, including managing incoming mail, packages, and office supplies inventory.
- Perform data entry, filing, and document proofreading to support administrative needs with accuracy and attention to detail.
- Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office.
- Support office management tasks such as organizing files, maintaining records, and assisting with bookkeeping using QuickBooks or similar software.
- Handle basic clerical duties including typing correspondence, managing office supplies, and supporting team members with personal assistant tasks when needed.
Skills
- Proven experience in office administration or clerical roles with strong organizational skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
- Familiarity with multi-line phone systems and phone etiquette to ensure professional communication.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Knowledge of QuickBooks for bookkeeping or basic financial record keeping is a plus.
- Strong attention to detail for proofreading documents and managing records accurately.
- Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment.
- Previous experience as a receptionist or in customer support roles such as dental or medical receptionist is advantageous.
- Ability to handle confidential information discreetly while providing excellent customer service.
