Position Summary

Media Works is looking for a dedicated Human Resources Manager to assist with delivering first line core people support at our Agency. This role will also include basic administrative responsibilities while dealing with high levels of confidentiality, and reports to our President.

Responsibilities:

Human Resources Support:

  • First point of contact for HR related queries.
  • Ensure internal HRIS system is up to date and accurate.
  • Manage the end-to-end new employee process, from receipt of offer letter to the day 1 induction, including adding employees to the relevant systems and benefits, liaising with line managers to ensure appropriate induction plans are in place and ensuring coordination of IT equipment.
  • Manage the end-to-end leaver process, ensuring equipment is returned and all systems access is disabled.
  • Responsible for regular audits of electronic employee files, ensuring legal compliance
  • Assist the management team with the maintenance and development of human resource procedures and policies.
  • Provide administration and reporting support for the annual performance review, pay review, and reward cycles.
  • Recruitment: Provide full cycle recruitment for the agency including phone screens, interview set up, offer extensions, and background checks.
  • Ensure the agency is up to date on all employment laws and regulations while communicating their effects to the executive management team.
  • Manage the relationship between our benefits brokers to ensure compliance and employee satisfaction.
  • Manage the review process from start to finish with the management team, including multiple reviews for new employees in the first year of employment.
  • Investigate any and all employee complaints or personnel issues.
  • Work with the management team and people managers to ensure a smooth introductory period for all new employees.
  • Perform exit interviews for all terminated employees.

Reporting:

  • Manage reporting, audits and compliance for all necessary benefits including workers compensation, 401k, and health care.
  • Ensure the smooth enrollment of the agency in all necessary tax accounts for payroll compliance.
  • Report on cost and budget for new hires.
  • Report all new hires and process them through E-Verify ensuring I-9's are processed in the appropriate time frame.

Office and Facilities Management:

  • Manage relationships with vendors and service providers, including backup for our office manager in IT support, cleaning services, maintenance, and security.
  • Coordinate office space allocation, seating arrangements, and office relocations as needed.
  • Ensure compliance with health and safety regulations and manage related documentation.

Events Support:

  • Plan and assist in the coordination of internal and external events, including meetings, conferences, team-building activities, and celebratory events.
  • Manage event logistics, including venue selection, catering, transportation, and scheduling.
  • Ensure events are executed smoothly and within budget, delivering a positive experience for all participants.
  • Other duties as assigned.

Experience, Education and Skills:

  • Ability to prioritize and handle multiple tasks in a fast paced work environment
  • Experience with Microsoft Office Tools with proficiency in Microsoft Excel
  • 3+ years of experience in office administration, recruitment, and human resources.
  • Ability to work independently and handle confidential information with discretion.
  • Strong attention to detail and high degree of accuracy
  • Proactive and a positive team player
  • Experience using an HRIS system
  • Professional communication skills
  • Strong administration and organizational skills including relationship building.
  • Understanding of US and Maryland Employment Laws.
  • Willingness to role up your sleeves and get the job done.
  • SHRM-CP or PHR preferred but not required.

Physical Requirements:

  • Must be able to be in a stationary position for long periods of time.
  • Must be able to operate computer keyboards
  • Must be able to read computer screens.
