Purpose:
The Office Assistant of Faith Presbyterian Church is an essential focal point for communication, publications, organization, and ministry support, assisting the Pastor and congregation in the daily life of the church.
Accountability:
The Office Assistant is accountable to the Pastor as the head of staff.

Requirements and Qualifications:
- Microsoft Office - Word, Publisher and PowerPoint expertise along with strong computer and office management skills
- Ability and willingness to learn all other software and applications used by the church
- Detail oriented with excellent oral and written communication skills
- Excellent time management skills and adaptability to a changing work environment
- Ability to manage the office in the Pastor's absence
- Able to work efficiently under minimal supervision with frequent interruptions
- Respectful of the confidentiality of sensitive information
- Ability to work with the Pastor, church staff and leadership, church members and the public in a professional and appropriate manner
- Comfortable being the primary first contact for Faith Presbyterian Church while supporting our mission, ministries, and values
Duties and Responsibilities include but not limited to:
- Answer the church phone, promptly respond to email communications, and forward messages to the Pastor or appropriate Elder, Deacon or committee member as necessary
- Get mail from the mailbox and sort and distribute it to the appropriate church leaders
- Work as directed by the Pastor as regards to congregational needs and requests
- Prepare correspondence, assist with bulletins, and other church publications as needed
- Use Canva to create graphics/slides and upload them to the church website
- Maintain church member, business, and community contact info via church database
- Maintain and manage the online and print version of the church calendar
- Work with the Clerk of Session to maintain permanent church records as required for membership and events such as baptisms, funerals, and marriages
- Maintain efficient office procedures and organized records
- Order office and church supplies as needed and as directed
- Perform other relevant duties as directed by the Pastor, who shall have the ultimate authority to assign priority levels and approve special requests from committees and members of the congregation
Duty of Confidentiality:
Both during employment and upon termination, with or without cause, the employee shall not discuss any church business in conversation or other means of communication, including on social media, except to promote the church or its activities as part of the employee's duties.
Hours and Compensation:
- Part time position three days per week; workdays, Tuesday, Wednesday, and Thursday
- Scheduled work hours: 9 a.m. to 3 p.m.
- Additional paid hours to support: VBS, church campaigns, Holy Week/Christmas
- Hourly position, with hourly rate to be recommended by the Personnel Committee for Session approval – starting pay range $16-$19/hour
- Paid holidays off (as stated in the employee handbook)
Employment Evaluations:
- Initial review will take place after 60 days of continuous employment
- Subsequent reviews will take place semi-annually
- Meetings will be for the mutual sharing of ideas, dialogue and evaluation; more frequent meetings may be scheduled at the discretion of the Pastor or the Personnel Committee, or at the request of the Office Assistant
Termination of Employment:
- In the case of voluntary termination of employment, written notice should be provided to the Pastor or Moderator of the Personnel Committee at least two (2) weeks in advance
- Dismissal of the Office Assistant is to be based upon recommendation of the Pastor, in consultation with the Personnel Committee, and approved by the Session
Job Requirements Review and Amendments:
The job description, and the terms and conditions of employment for the Office Assistant position of Faith Presbyterian Church are subject to annual review, with recommendations for amendment or revision, including those of the Office Assistant, to be submitted by the Personnel Committee for approval of the Session.
