Duties
- Coordinate and supervise daily office activities, ensuring seamless operations across departments.
- Manage scheduling and calendar appointments.
- Oversee vendor relationships, including negotiating contracts, managing supplies, and ensuring timely deliveries.
- Supervise administrative staff, providing training, mentorship, and performance evaluations to foster a motivated team.
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting employee development initiatives.
- Oversee payroll processing using accounting software to ensure accurate compensation.
- Maintain financial records through bookkeeping and budgeting.
- Manage front desk operations, including multi-line phone systems, visitor reception, and maintaining a professional office environment.
- Organize company events and meetings through effective event planning to promote team engagement and organizational visibility.
- Implement filing systems and document management protocols to ensure compliance with record-keeping standards.
- Support medical or specialized office management tasks if applicable, including patient or client record handling.
- Facilitate training sessions on office procedures, communication etiquette, and software tools to enhance team capabilities.
Skills
- Proven experience in office management or administrative roles with supervisory responsibilities.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting.
- Excellent communication skills—both verbal and written—to interact effectively with staff, vendors, and clients.
- Proficiency in QuickBooks for payroll, bookkeeping, and budgeting activities.
- Experience with event planning and coordinating meetings or organizational functions.
- Vendor management expertise to negotiate contracts and maintain supplier relationships.
- Knowledge of human resources practices including onboarding, employee relations, and compliance standards.
- Familiarity with medical office management or specialized administrative environments is advantageous.
- Competence in managing multi-line phone systems, calendar scheduling software, and filing systems.
- Ability to supervise teams effectively while fostering a collaborative work environment focused on development and excellence.
