Overview:

The Whitby Mazda Service Team is seeking a highly motivated and dedicated Appointment Coordinator to join our team. Reporting to the Service Manager, the position works attentively in acquiring and booking appointments, answering incoming and completing outgoing calls. The position shall entail assisting the Service Advisors in checking in and cashing out customers, greeting customers and assisting the Service Department to achieve stellar customer satisfaction and overall department success. This role is high pace and requires fast and critical thinkers while working alongside the Service Manager.

Primary Duties and Responsibilities

  • Booking appointments
  • Answer and direct incoming calls
  • Perform outbound calls as required
  • Booking appointments for Special Order Parts customers
  • Execute daily tasks in a timely manner
  • Assist Service Team in cashing out or checking in customers
  • Greet and welcome customers to the Service Department
  • Assist with Detail Department clean up scheduling
  • Assist with Internal vehicle write up and processing
  • Checking recalls on all incoming appointments
  • Communicate with Parts Department to obtain or order required parts
  • Carry out all customer interactions in a positive and courteous manner

Qualifications

  • Strong time management skills to efficiently coordinate appointments
  • Excellent communication and interpersonal abilities to interact with clients and team members
  • Proficiency in scheduling software and tools
  • High attention to detail to ensure accurate appointment records
  • Ability to multitask and prioritize tasks effectively
  • Experience in a customer service or administrative role is preferred
  • Proficient in Office 365

Job Types: Full-time, Permanent

Pay: From $18.00 per hour
