We are searching for a highly experienced Office Manager with strong construction administration and project coordination skills to support our growing team.
Position Summary
We are hiring an Office Manager (Construction Office Manager / Project Coordinator) with 10+ years of experience managing office operations, schedules, documentation, and multi-department coordination. This role is ideal for someone who thrives in a fast-paced construction environment and is confident leading teams, optimizing workflow, and maintaining strong communication across projects and departments.
This position directly supports leadership and plays a central role in ensuring smooth operations for our construction company.
Key ResponsibilitiesOperations & Administration
- Manage day-to-day office operations for a busy construction company
- Oversee workflow, communication systems, and reporting processes
- Maintain organized digital and physical filing systems
- Create and implement office policies, SOPs, and administrative best practices
Team & Project Management
- Support and manage team members to ensure project milestones and deadlines are met
- Delegate tasks and monitor progress across departments
- Act as a bridge between teams, trades, and leadership
- Lead internal meetings and provide regular operational updates
Scheduling & Coordination
- Coordinate schedules, project timelines, and team calendars
- Oversee resource allocation to maintain efficiency across multiple active construction projects
Communication & Reporting
- Prepare reports, project updates, and documentation for upper management
- Communicate professionally with internal and external stakeholders
Technology & Tools
- Advanced use of Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Use of project management and productivity tools (ClickUp, Toggl, GoHighLevel, DropBox) to track timelines and deliverables
- Use/knowledge of BuilderTrend preferred.
Qualifications
- 10+ years of experience in office management, project coordination, or construction administration
- Proven people-management experience
- Excellent written and verbal English communication
- Strong proficiency in Microsoft Office Suite
- Highly organized, detail-oriented, and able to prioritize under pressure
- Comfortable working in a fast-paced, construction-focused environment
