Accountable to the Executive Assistant, the Front Desk Receptionist is the first point of contact for the Administration Office and all its departments and for the general public and all those who enter the Waycobah First Nation Administration Building.

The incumbent is responsible for answering all general inquiries and therefore must always be knowledgeable of all departments in order to direct calls and answer inquiries. The incumbent represents the Band Administration Office and must always be presentable and personable.

DUTIES AND RESPONSBILITIES

  • Answer and dispatch all incoming calls and extensions in a friendly, helpful, timely and efficient manner
  • Ensure that calls and messages are received and directed to the appropriate department correctly and efficiently
  • Greets and handles walks-in clients and vendors in a timely and efficient manner by answering their inquiries and directing them to the appropriate department or staff members as needed
  • Provides secretarial, clerical and reception duties for various Departments and the general public when needed
  • Act as a department and office information resource person by having general knowledge of all departments and staff members and their duties in order to assist clients and vendors
  • Must be comfortable using fax machines, emails and recording documents when needed
  • Monitor and maintain daily staff attendance sheets and ensure that weekly reports are received from Fisheries, Child Care Centre, and the Band.
  • Provide typing and secretarial services as needed
  • Perform other related duties as required by CEO
  • Able to handle minimal amount of stress
  • Able to handle confidential information

EDUCATION, EXPERIENCE AND PERSONAL ATTRIBUTES

  • Must be a Waycobah Band Member
  • Grand 12 diploma or equivalency may be accepted
  • Computer skills required – Microsoft Word, Excel, Power Point
  • Excellent typing and organizational skills
  • Good people skills (personable)
  • Excellent telephone manners with excellent verbal, interpersonal and communication skills
  • Previous reception and switchboard experience an asset

  • Work Hours:
    • Flexible Schedule: Hours can vary, often part-time or on an as-needed basis.
  • This position is generally located in an office environment
  • Physical capabilities to perform the duties of the position
