We are actively looking for a Quality Assurance & Document Controller. This is a hybrid role, offering a combination of remote and in‑office work, based out of one of our office locations in either Leer, Germany or Aberdeen, UK. The Quality Assurance and Document Controller is responsible for supporting and enabling the effective operation, governance, and continual improvement of the Business Management System (BMS). The role proactively supports the Operational Excellence function by ensuring that company documentation, quality processes, and assurance activities are controlled, current, compliant, and consistently applied across the organization. This position acts as the focal point for BMS documentation, quality assurance support, and document governance, interfacing with internal stakeholders and third parties to ensure legislative, regulatory, and company requirements are met. Responsibilities
Supporting the continual improvement, maintenance, and governance of the Business Management System (BMS) and the Business network drives. Ensuring management system documentation is controlled, compliant, current, and consistently presented. Supporting quality assurance, audit readiness, and internal assurance activities. Acting as the primary focal point for BMS documentation queries and document control processes. Ensure document properties, version control, approval status, and filing structures are correctly maintained. Maintain registers of controlled documents (e.g. MDR) and other associated documents/systems, ensuring revisions are tracked and reflected. Support Quality aspects within the business both for internal and external purposes. Where applicable, support the planning, coordination, and completion of internal audits, both office‑based and offshore. Assist with monitoring regulatory and legislative developments and conduct applicability reviews. Monitor flag state exemptions and certification status, ensuring records are maintained and up to date. Review, log, and file Daily Progress Reports (DPRs). Maintain and manage technical and departmental folders to ensure accuracy and completeness. As required, prepare and issue communications, notices, and updates to the business. Support the Operational Excellence and Leadership Teams with specific improvement initiatives and focused tasks. Undertake any other reasonable duties as requested by the line manager, consistent with the role. Qualifications
Experience working with Business Management Systems (BMS), QMS, or ISO‑aligned frameworks. Knowledge of maritime, offshore, or regulated industries. Experience supporting audits and assurance activities. Proficiency in Microsoft Office, Power BI or similar reporting tools. Excellent written and verbal communication skills. Strong organizational skills with high attention to detail. Strong emphasis on quality. Ability to work independently and as part of a multidisciplinary team. Ability to prioritize workload and meet deadlines in a dynamic environment. Strong problem‑solving and adaptability skills. Quality training and or competence (Desirable). Fluency in English.
