Location: based in the North Shore area of Chicago (Hybrid — 3 days in office)
Reports To: Chief Revenue & Transformation Officer
Compensation: $90,000 - $100,000 annual salary
*Position Summary *
A publisher based in the north shore area of Chicago is seeking a highly organized and execution-oriented Project Manager, Integration to support the day-to-day operational, commercial, and systems integration of the Gemini Books Group team. This role is responsible for overseeing tactical execution across a complex, multi-region integration, ensuring tasks are completed, timelines are maintained, and workstreams stay aligned.
Reporting directly to the Chief Revenue & Transformation Officer, this role will coordinate cross-functional activities in sales, operations, systems, data, finance, HR, and supply chain. The ideal candidate has exceptional attention to detail, and the ability to drive momentum across multiple teams in a fast-moving, evolving environment.
This is a hybrid role, based the north shore area of Chicago with a requirement of three days per week in the office.
*Key Responsibilities*
* Accountable for maintaining the integration workflow, ensuring all tasks, owners, and deadlines are accurate, updated, and aligned to the comprehensive plan.
* Will support a culture of collaboration, communication, and accountability by coordinating cross-functional meetings, capturing action items, and tracking progress across all integration workstreams.
* Create a positive, solutions-oriented working environment that emphasizes clarity, efficiency, and timely execution.
* Collaborates with the Chief Revenue & Transformation Officer and Senior Vice President, Technology to maintain project schedules that align with sales cycles, operational deadlines, and system migration timelines, ensuring all teams hit required milestones.
* Work closely with operations, IT, sales, manufacturing, and finance teams to identify gaps, and support development of optimized workflows to ensure early visibility and alignment during the integration.
* Support system transitions and data migration plans by capturing requirements, tracking deliverables, and preparing documentation for IT, operations, and commercial stakeholders.
* Participate in planning meetings, cross-functional check-ins, and integration updates to ensure the organization has the information needed to meet commercial and operational objectives.
* When appropriate, support special projects for the integration team, helping maintain project calendars and collaborating with senior leaders to keep momentum on cross-department initiatives.
* Develop, manage, and cultivate collaborative and positive working relationships with internal stakeholders across all PIL teams.
* Ensure timely documentation, preparation, and distribution of all integration materials, including agendas, meeting notes, executive summaries, and project trackers.
* Create and develop solutions to prevent or manage schedule delays, misaligned workflows, or operational bottlenecks.
* Consult with the CRTO and cross-functional department heads to ensure that integration milestones, tasks, and deliverables remain synchronized and transparent across teams.
* Support the development of clear communication materials, process documentation, and internal updates to ensure long-term consistency throughout the organization.
*Required Qualifications*
* 2+ years of project management or operations coordination, or similar experience.
* Strong organizational skills and ability to manage multiple workstreams.
* Excellent written and verbal communication skills; confident leading and taking detailed meeting notes.
* High proficiency in Excel/Sheets, PowerPoint, and project-tracking tools.
* Reliable follow-through and ability to meet deadlines with accuracy.
* Ability to work hybrid in Skokie three days per week.
*Preferred Qualifications*
* Certification or significant coursework in project management (PMP, CAPM, PRINCE2, etc.).
* Experience in publishing, consumer products, retail, supply chain, or related industries.
* Familiarity with publishing systems (ONIX, Sage Intacct, ERP/warehouse systems).
* Experience in M&A integration
