As a SABI Mind Medical Office Assistant, you will play a key role in creating a smooth, supportive experience for patients and staff alike. Your organization, communication, and attention to detail will help ensure seamless clinic operations—from scheduling and coordination to maintaining a calm, welcoming environment. Qualifications & Skills- Completion of a Medical Office Assistant (MOA) certificate program or equivalent training.
- Experience in a clinical, mental health, or patient-facing care environment is strongly preferred.
- Exceptional organization, communication, and multitasking abilities with strong attention to detail.
- Comfortable supporting vulnerable populations and working within trauma-informed, client-centred care principles.
- Proficiency with Electronic Medical Records (EMR) systems and standard office software (e.g., Microsoft Office, Google Workspace).
- Ability to maintain calm, professionalism, and empathy in fast-paced or sensitive situations.
- Strong interpersonal skills with the ability to collaborate effectively with clinicians and administrative staff.
- Must provide a current Criminal Record Check with Vulnerable Sector Screening.
- CPR/First Aid certification is considered an asset but not required.
Key Duties & Responsibilities
- Greet and check in patients, ensuring a warm and welcoming environment
- Manage appointment scheduling, confirmations, and follow-up communication
- Maintain accurate patient records and support documentation needs
- Assist with intake processes and ensure forms are complete and up to date
- Coordinate communication between patients, clinicians, and administrative staff
- Monitor and maintain the cleanliness, order, and readiness of clinic spaces
- Handle email and phone inquiries with professionalism and empathy
- Support billing, invoicing, and payment processing
- Maintain inventory of office and clinic supplies and coordinate reordering
- Assist with general administrative tasks to support smooth clinic operations
