ABOUT US

Founded in 1984, The Friends of the Public Gardens (TFPG) is a volunteer-led nonprofit society dedicated to our mission of preserving, protecting, promoting, and celebrating the Halifax Public Gardens. For over four decades, our dedicated volunteers have stewarded this treasured Victorian garden through education, events, and community engagement.

TFPG operates Horticultural Hall, in the Public Gardens seasonally from May to October. Our Board of Directors and planning committees are active year-round; therefore, the responsibilities of this position will vary, throughout the year. This new year-round position marks a significant step, our first paid staff position, created to support and amplify the work of our volunteers and ensure the sustainability of our mission.

JOB PURPOSE

As Operations Supervisor you will be the heartbeat of operations ensuring volunteers feel supported and visitors feel welcome. You will manage administrative systems and collaborate across committees. This role is ideal for someone who thrives in a dynamic, mission-driven environment and is excited to help shape the future of a growing organization.

KEY RESPONSIBILITIES

Volunteer & Visitor Services

  • Lead seasonal operations in Horticultural Hall from May to October, including the Visitor Desk; Gift shop; Gardens and Bird Tours; and support of the annual Musical Program and other events held in the Gardens. This will require scheduling, supervision and support of both volunteers and seasonally employed student Garden Interpreters.
  • Plan and facilitate spring training sessions.
  • Recruit, onboard, and support volunteers.

Organizational Operations

  • Ensure compliance with legal and regulatory requirements.
  • Implement and maintain policies and procedures aligned with TFPG guidelines.
  • Attend Board Meetings and provide support.
  • Assist with internal planning and coordination across committees.
  • Monitor and respond to email inquiries daily.

Membership & Community Engagement

  • Manage and maintain membership records (use of membership platforms).
  • Collaborate with the Membership Chair to recruit and retain members.
  • Support social media and marketing efforts with the Communications Committee.

Events & Programming

  • Assist in planning and executing events with the Events Committee and Music Coordinator.

Financial & Fundraising

  • Support the Treasurer with bookkeeping and financial reporting.
  • Collaborate with the Fundraising Committee to secure sustainable and project-based funding.

Newsletter and Website

  • Assist Communications Committee with monthly Newsletter production and website maintenance.

Other Responsibilities as they arise.

QUALIFICATIONS

Required:

  • Degree or diploma in business administration, nonprofit management, or equivalent experience.
  • Flexibility to work evenings/weekends as needed.
  • Strong organizational and leadership skills.
  • Experience supervising teams and coordinating volunteers.
  • Proficiency in Microsoft Office and Google Workspace.
  • Familiarity with QuickBooks or similar accounting software.
  • Understanding of nonprofit financial practices or willingness to acquire the knowledge.

Preferred:

  • Experience in grant writing and administration.
  • Social media expertise across platforms.
  • Fluency in additional languages is an asset.

Job Types: Full-time, Permanent

Pay: $50,000.00-$53,000.00 per year
