The Opportunity.

We are currently looking for an IP Clerk to join our team. In this role you will be part of our administrative team providing operational support to our patent or trademark agents and lawyers. This role is open to both bilingual (French/English) and non-bilingual candidates and can be based out of our Ottawa, Toronto or Montreal office.

Responsibilities.

  • Enter due dates and other information into the file management system.
  • Process and review incoming electronic and physical Canadian Intellectual Property Office (CIPO) correspondence.
  • Process incoming electronic mail.
  • Prepare and report payment submissions for maintenance fees, including invoices to clients.
  • Perform general administrative tasks including preparation of billings.

All teams are expected to interact with practitioners and other team members, and potentially handle sensitive client information. They may be asked to perform other duties, as assigned.

This is not an exhaustive list of responsibilities and there may be a requirement to carry out other tasks in accordance with the needs of the organization.

Qualifications, competencies and experience.

  • Diploma in administration, business or a related field;
  • Administrative or office experience;
  • Proficiency in English required; French fluency is considered an asset
  • Excellent interpersonal and communication skills including the ability to deal directly with clients and all levels of staff
  • Excellent attention to detail, highly organized and proactive
  • Highly proficient in MS Office and ability to learn new software and technology quickly
