This is intended as a full time role, but could be modified to part-time for the right candidate who perhaps would like to drop their kids off and pick them up at school or has other similar obligations, but who is able to work 5 hours per day in the middle, 5 days per week.

We combine institutional-quality portfolio construction — including private credit, real estate, private equity, infrastructure, and hedged strategies — with a deeply personal, family-office style experience.

Client Service & Operations Specialist

Position Summary
The Client Service & Operations Specialist plays a central role in creating a world-class client experience and keeping the operational side of the practice running smoothly. You will work directly with the lead advisor, supporting client onboarding, service, operations, compliance, scheduling, and workflow management.
This role is ideal for someone who is both
client-facing and operationally strong
— someone who loves structure, thrives in a process-driven environment, and takes ownership of their work. You will help ensure that nothing falls through the cracks, systems are followed consistently, and clients receive exceptional service at every stage of their relationship with CHPW.
This is a key role within a growing practice, with meaningful opportunities to expand responsibilities as the business scales.
Key Responsibilities
1. Client Service & Onboarding
- Participate in client onboarding meetings with the advisor to capture details and understand next steps.
- Coordinate all onboarding components including digital signatures, account applications, transfers, and required documents.
- Communicate directly with clients via email and phone to collect information and provide updates.
- Ensure onboarding tasks are completed efficiently, accurately, and consistently.
- Maintain high professionalism and warmth when interacting with high-net-worth clients.
2. Client Operations & Administrative Support
- Prepare and process trades, contributions, withdrawals, transfers, and other client requests.
- Maintain up-to-date and accurate CRM (Salesforce) and compliance records.
- Ensure all documentation meets internal and regulatory standards.
- Prepare review meeting packages, financial planning documents, and follow-up action lists.
- Assist in annual and semi-annual review cycles, ensuring KYC and compliance requirements are completed.
3. Workflow & Advisor Support
- Manage and protect the advisor's schedule by coordinating appointments and follow-ups.
- Anticipate what is needed for upcoming meetings and prepare materials in advance.
- Keep tasks moving by following up when you require information or signatures.
- Ensure the advisor is aware of upcoming deadlines, outstanding items, and client-related tasks.
- Support the continuous improvement of operational workflows and documentation.
4. Technology & Systems
- Work efficiently across CRM tools, planning software, portfolio systems, and digital signature platforms.
- Learn new tools quickly and help optimize internal processes for efficiency.
- Support improvements to SOPs to reduce errors and enhance client experience.
What Success Looks Like (12–18 Months)
- Client onboarding is smooth, consistent, and nearly hands-free for the advisor.
- Client service tasks are completed accurately and proactively.
- CRM, compliance, and documentation are always up-to-date and error-free.
- The advisor has more time for financial planning, relationship-building, and business growth.
- You feel like a true partner in delivering an elite client experience.
- You have established yourself as the operational backbone of the Burlington office.

Preferred Experience
(Not required — we are open to the right candidate with transferable skills.)
- Experience in financial services, wealth management, insurance, or investment operations.
- Experience preparing client documentation or handling account-related workflows.
- Familiarity with CRM systems (Salesforce experience is a plus).
- Exposure to compliance, KYC, or regulatory documentation.
Compensation & Growth Path
