STATUS: Full Time / Permanent
LOCATION: Uxbridge Ontario, with opportunity to work from home
We are a growing multi-family office and private wealth management firm dedicated to delivering comprehensive, high-touch financial, administrative and concierge services to ultra-high-net-worth families across Canada. We are currently seeking a Client Service Associate to join our team. This role is ideal for a dynamic, service-oriented professional who thrives in a detail-driven environment and is passionate about supporting affluent families with the utmost discretion, integrity, and excellence.
As a Client Service Associate, you will be responsible for delivering outstanding service and operational support to clients and internal advisors, while ensuring the highest level of execution and confidentiality. You will also work closely with the Chief Operating Officer to support firm-wide operational and compliance processes that contribute to the overall efficiency of the organization.
KEY RESPONSIBILITIES:
Client Service & Relationship Management
· Serve as the primary point of contact for client administrative and service inquiries, ensuring prompt and accurate responses with a client-first mindset.
· Develop and maintain strong, trust-based relationships with high-net-worth families and their advisors.
· Manage ongoing client account administration, including cash movements, transfers, account maintenance, and documentation updates.
· Coordinate and execute seamless onboarding of new clients, accounts, and households across internal and external systems.
Operational & Administrative Support
· Liaise with custodians, investment platforms, legal, and tax advisors to ensure smooth account execution and regulatory compliance.
· Maintain accurate and up-to-date client records and documentation in accordance with compliance and regulatory requirements.
· Assist in the preparation of client presentations, meeting materials, reports, and correspondence as needed.
· Identify and help implement process improvements to increase operational efficiency and client service excellence.
Firm Operations & Team Collaboration
· Partner with the Chief Operating Officer on firm-wide operational initiatives, compliance monitoring, and process optimization.
· Support internal systems management, including CRM, portfolio management software, and document management platforms.
· Provide administrative support for internal operations, meetings, and office functions as required.
QUALIFICATIONS & REQUIREMENTS:
Bachelor's degree in business administration, or a related discipline.
2+ years of experience in Financial Services Industry or Investment Industry; Family Office experience an asset.
Excellent communication skills, written and verbal, with a demonstrated ability to build rapport with clients.
Proficiency in the Microsoft Office suite of products.
Excellent organizational skills, ability to multitask and meet deadlines while maintaining high service standards.
