Nous sommes à la recherche d’un(e) adjoint(e) administratif(ve) proactif(ve) et organisé(e) pour soutenir les activités quotidiennes de plusieurs départements tout en assurant les responsabilités à la réception. Ce poste, en présentiel, est essentiel au maintien d’un environnement de travail structuré, efficace et accueillant, et contribue à promouvoir une culture d’entreprise positive et engageante.
Vos responsabilités
- Accueillir les visiteurs, clients et fournisseurs en personne et au téléphone avec professionnalisme et courtoisie
- Gérer le courrier entrant et sortant, y compris l’envoi de factures et de chèques
- Organiser les envois et coordonner les services de messagerie
- Participer à l’entretien de l’équipement de bureau et assurer le lien avec les fournisseurs au besoin
- Rédiger, réviser et mettre en forme divers documents (lettres, rapports, communications internes)
- Assurer le suivi des fournitures de bureau et effectuer les commandes nécessaires
- Gérer les demandes de cadeaux destinés aux clients et coordonner les envois des lettres des Fêtes
- Offrir un soutien administratif aux équipes des ressources humaines, de la comptabilité et du service à la clientèle
- Planifier les réunions, réserver les salles et coordonner les calendriers
- Contribuer à maintenir un environnement de travail accueillant, inclusif et positif
- Participer à l’organisation d’activités et d’événements favorisant l’engagement des employés
Profil recherché
- Bilinguisme (français et anglais) avec d’excellentes compétences en communication écrite et orale
- 2 à 3 ans d’expérience dans un rôle administratif ou à la réception
- Maîtrise des outils et technologies de bureau, incluant Microsoft 365
- Excellentes aptitudes organisationnelles et capacité à gérer plusieurs priorités
- Attitude professionnelle, positive et orientée vers le service à la clientèle
- Créativité et intérêt pour contribuer à une expérience employé positive et à une culture d’entreprise dynamique
We’re looking for a proactive and detail-oriented Office Administrator to support day-to-day operations across multiple departments while managing front desk responsibilities. This on-site position is central to creating an organized, efficient, and welcoming workplace, and contributes to a positive and engaging company culture.
What You’ll Do
- Welcome visitors, clients, and vendors in person and over the phone with a friendly and professional approach
- Handle incoming and outgoing mail, including processing invoices and cheques
- Arrange courier services and manage outgoing shipments
- Support the upkeep of office equipment and coordinate with service providers when required
- Draft, edit, and format documents such as letters, reports, and internal communications
- Monitor office supply levels and place orders to ensure everything is well stocked
- Oversee customer gift requests and assist with holiday mailings
- Provide administrative support to teams including HR, Accounting, and Customer Service
- Coordinate meeting schedules, book boardrooms, and manage calendars
- Help maintain a positive, inclusive, and welcoming office environment
- Assist with planning and organizing employee engagement activities and events
What You Bring
- Fluency in both English and French, with strong written and verbal communication skills
- 2–3 years of experience in an administrative or reception role
- Comfort using office technology and tools, including Microsoft 365
- Strong organizational and time-management skills, with the ability to juggle multiple priorities
- A professional, approachable, and customer-focused attitude
- A creative mindset and genuine interest in supporting a positive workplace culture
